Facilities Assistant – S1 Jobs in Tallahassee, Florida, USA at Citizens Property Insurance Corporation

Welcomes visitors and employees by greeting them in a courteous and professional manner; directing them appropriately; notifying personnel of visitor arrival; following proper safety and security procedures while manning the assigned reception area;
Maintains a safe, clean, and uncluttered reception area. Answers phone calls and addresses issues directly or forwards calls to appropriate parties. Coordinates with security and / or designated management in the event of an emergency.
Responds to assigned work orders and assists with assigning work orders as requested;
Assist Facilities Technicians with special tasks as needed. Enter work orders as identified during day-to-day operations;
Communicates with janitorial staff as needed for Facility Manager;
Processes security badge access requests ensuring all internal processes and procedures are followed. (., verification of , taking properly formatted photo ’s, parking assignment notifications and storing in proper e-file location, assigning appropriate access levels based on CAFM approvals).
Provides clerical support to the Facilities Management business unit by; reviewing training room calendars and submitting appropriate work orders; supporting various internal processes such as Lost and Found, Shredding, Recycling, No Gift Policy, etc. assisting with receipting invoices as directed; assisting with space management by updating seating charts and assisting with special projects / assignments as requested.
Monitors inventory of break room supplies, paper and toner supplies, places orders, and ensures receipts and proper storage. Assists with the operation of the break rooms (., vending machines, petty cash, and signage).
If applicable to assigned site, provides back up for the mail room area to include receiving, sorting, and opening daily incoming mail, packages from UPS / Fed Ex or other express services according to stablished guidelines and procedures. Receives and routes any incoming mail received at the reception / lobby area (., subpoenas and time sensitive solicitations).
REQUIRED KNOWLEDGE, SKILLS, and ABILITIES
Knowledge :
What an incumbent must know to perform the job (required)
Basic knowledge of MS Office, including Excel, Word, and Outlook.
Ability to work within and meet deadlines. Strong organizational skills and attention to detail
Ability to maintain effective working relationships with others.
Good communication and customer service skills.
EDUCATION
High School Diploma | GED
RELEVANT WORK EXPERIENCE
0 – 2 years of experience working as a receptionist or in a similar customer service role
PREFERRED EXPERIENCE / EDUCATION
Experience using MS Teams and One Note.
Ability to maintain proper inventory levels for consumables.
Ability to learn customized software applications (security, procurements)

This position will be onsite at our Tallahassee, FL office. Selected candidates must live within a commutable distance (approximately 50 miles) to Citizens Tallahassee office location.
