Facilities Project Administrator – Full Time
Reports to: Facilities Senior Project Manager
Days/Hours:
Mon-Fri. 6:00am-2:30pm

Job Summary:
The Facilities Project Administrator plays a key role within the Facilities Department, supporting the planning, coordination, and execution of new construction, renovations, repairs, maintenance, and improvements for all RCSC buildings, amenities, and real property. This position is responsible for providing comprehensive administrative support to project teams and skilled trades staff. The role involves handling a variety of clerical, organizational, and coordination tasks while working closely with department leadership to ensure smooth operations.
Key Duties and Responsibilities:
Input and process department vendor invoices into the company invoice system.
Assign and maintain work orders for staff and vendors as applicable.
Organize and maintain general office files, including project files, vendor records, and other operational documents.
Serve as Key Control Administrator, overseeing the issuance, tracking and management of all company-issued keys.
Procure office supplies, equipment, and furniture as needed.
Assist the Facilities Senior Project Manager in developing and managing annual capital, repair & maintenance, preventative maintenance, and operating budgets.
Prepare and submit project progress and status reports, as required
Ensure project documents are complete, up-to-date, and properly stored.
Qualifications:
High school diploma required, bachelor’s degree in business administration, project management, or a related field preferred.
Minimum of two years of experience in office administration, preferably in a facilities or construction-related environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Access).
Possession of a valid state of Arizona driver’s license.
