Job Description

The Iowa Department of Transportation is filling a key lead administrative position to support elevated vehicle title and registration transactions and to support vehicle issuance staff in the use of IT systems. This Administrative Assistant 2 will handle detailed review of vehicle salvage issues, provide authorization for vehicle transactions and support County Treasurer staff and other Iowa Motor Vehicle Division workers on the use of our complex IT systems.

Shift: 8:00 AM to 4:30 PM Monday through Friday; flexible schedule; some teleworking available.

Location: Motor Vehicle Division building, Ankeny, Iowa

What you will need to succeed in this position:
Experience working with large volumes of transactions in an IT transactional environment.
Ability to interpret laws, rules, policies, and procedures.
Contribute to a positive team environment by fostering professional relationships.
Sensitivity to handle elevated customer issue resolution and external contact.
Ability to communicate effectively and facilitate common understanding through phone, e-mail, and written instruction.
Attention to detail.

Here is what you will do in this position:
Serve as a lead resource on vehicle title and registration processes impacting the 99 County Treasurer Offices and guide County Treasurer staff on status of titling and registering vehicles.
Serve as a technical expert for internal staff and external customers to support a variety of IT systems, application processes and transaction fulfillments.
Apply knowledge and experience to high-level transactions that often involve sensitive, confidential or escalated needs.
Perform special assignments to support implementation of legislation, process improvements and information sharing.
Enable and facilitate county involvement with IT systems and processes.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

Graduation from an accredited four-year college or university with a bachelor’s degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).
A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.
Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
