We are seeking a highly organized and proactive Office Manager/ Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional clerical and administrative skills, demonstrating the ability to manage multiple tasks efficiently while maintaining a high level of professionalism. This role is crucial in ensuring the smooth operation of the executive office and requires a strong understanding of office management practices.
Responsibilities
Provide comprehensive administrative support to the CEO, including managing schedules, appointments, and travel arrangements.
Organize and maintain electronic and physical filing systems to ensure easy access to important documents.
Assist in project management by tracking deadlines and deliverables, ensuring timely completion of tasks.
Prepare and proofread correspondence, reports, and presentations with attention to detail.
Serve as the first point of contact for visitors and callers, managing front desk operations effectively.
Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Utilize Google Suite for document creation, data management, and communication purposes.
Handle confidential information with discretion and professionalism.
Qualifications
Proven experience as an Executive Assistant or in other administrative roles.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in Google Suite applications (Docs, Sheets, Calendar) is essential.
Excellent clerical skills with a keen eye for proofreading and detail-oriented work.
Familiarity with office management procedures and best practices.
Strong written and verbal communication skills are necessary for effective interaction with stakeholders at all levels.
Ability to work independently as well as part of a team in a dynamic environment.
