Job Description
We’re looking for a highly organized and proactive Executive Assistant to provide comprehensive operational and administrative support to our executive leadership team, including the President, CEO, CFO, and COO from our home office in Flower Mound. This pivotal role is integral to the efficient functioning of our leadership team, offering strategic administrative support for various initiatives and projects.
Key Responsibilities:
Executive Support: Provide high-level administrative support and direct assistance to executive leadership and assigned staff.
Calendar & Communication Management: Expertly oversee executive calendars, schedule meetings, manage all incoming communications, and act as a strategic gatekeeper to prioritize and disseminate information.
Meeting & Travel Coordination: Arrange complex travel and accommodations for executives, and attend meetings to accurately take notes and record minutes.
Document & Records Management: Draft professional correspondence, memos, reports, and invoices, and maintain organized, confidential records.
Office Operations: Manage office supplies, assist with basic invoicing, and provide comprehensive support for office facilities, including maintenance and stocking of break room and supply areas.
Project & Initiative Support: Offer strategic administrative support for executive initiatives and related projects, contributing to their successful execution.
Additional Duties: Perform other duties as assigned by executives to ensure seamless operations.
Qualifications
Experience:
Minimum of three (3) years of experience providing administrative and operational support to executive leadership.
Proven experience in a multi-site organization, offering administrative support across different locations.
Demonstrated expertise in arranging and managing complex travel plans for multiple executives.
Prior experience representing leadership through professional written and verbal communication.
Skills & Abilities:
Exceptional verbal and written communication skills.
Superior organizational skills with a keen eye for detail.
Excellent time management skills and a proven ability to consistently meet deadlines.
Ability to thrive in a fast-paced, dynamic, and at times demanding environment.
Extensive knowledge of office administration, clerical procedures, and record-keeping systems.
Advanced proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) or similar productivity software, with a strong aptitude for learning new or updated technologies quickly.
