We are seeking a highly organized and versatile individual to join our team as a Personal Assistant / Office Manager. This pivotal role requires someone with exceptional multitasking abilities, attention to detail, and a proactive approach to managing various tasks efficiently and effectively. The successful candidate will play a crucial role in ensuring the smooth operation of our office environment.

Responsibilities:

– Manage day-to-day administrative tasks to support the smooth functioning of the office.

– Coordinate schedules, appointments, and meetings for executives and team members.

– Handle incoming calls, emails, and correspondence with professionalism and confidentiality.

– Maintain office supplies inventory and place orders as necessary.

– Assist with basic bookkeeping tasks, such as expense tracking and invoice processing.

– Organize and maintain physical and digital filing systems for important documents and records.

– Assist with real estate rental income management, including tenant communication and rent collection.

– Pay bills and invoices in a timely manner, ensuring accuracy and adherence to budgetary guidelines.

– Assist with travel arrangements and accommodations for staff when necessary.

– Perform miscellaneous tasks as needed to support the team and office operations.

Requirements:

– Proven experience in an administrative or office management role.

– Exceptional organizational skills with the ability to prioritize tasks effectively.

– Strong multitasking abilities, with the capacity to handle various tasks simultaneously.

– Excellent communication and interpersonal skills.

– Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

– Ability to maintain confidentiality and exercise discretion in handling sensitive information.

– High level of attention to detail and accuracy.

– Flexibility and adaptability to changing priorities and deadlines.

– Positive attitude and willingness to take on new challenges.

Preferred Qualifications:

– Previous experience supporting executive-level staff.

– Familiarity with Quickbooks / Zoho Books.

– Familiar in Office / GSuite – Excel, Word, Powerpoint, Outlook
