Have experience with leave of absence (LOA) related policies and procedures, including Family Medical Leave, Disability, Voluntary Shared Leave, and Military Leave?

Are you analytical, thorough and detail oriented; can work alone or with a partner, skilled in leave policy and use Excel and Fiori for data management?

Have excellent communication and organizational skills?

Knowledgeable of employment Federal, State, and Local laws pertaining to Human Resources practice?

This position is the Leave Coordinator for the HR Division and NC DOJ agency. The position must have strong knowledge of the state’s leave policies and Federal laws in order to answer questions and resolve problems.

Additional responsiblities include supporting the Financial Management team with various administrative duties.

Leave of Absence Case Management-

o Administers leave of absence (LOA) related policies and procedures, including Family Medical Leave, Disability, Voluntary Shared Leave, and Military Leave, which includes consultation, follow-up,and problem-solving to manage the entire course of the absence and facilitate proper reinstatement

o Anticipates needs of employees on leave of absence and provides counsel regarding benefits options, eligibility, and related processes.

o Uses high discretion in handling confidential personal and health information and is sensitive to employees’ situations and needs.

o Processes and manages LOA cases, including file maintenance, LOA report updates, HRIS actions, leave administration, and short-term disability payment.

o Communicates appropriately and promptly with stakeholders, including employees on LOA, Supervisors, HR Director, and Employee Relations Manager.

o Create, update, and utilize LOA letter templates, checklists, and process documentation.

o Ensure that paychecks for employees on LOA are correct during the corrections period and resolve any issues before the payroll deadline.

o Complex leave actions will be referred to the Employee Relations Manager

Administrative support for HR and Finance

o This includes, but is not limited to answering phone calls and replying to emails

Management of mail for Finance

o Open, date stamp, review and distribute incoming mail to FSS staff

o Log checks received in FSS and work with FSS partner to reconcile and verify all checks were deposited daily

o Assist with mailing out payments – outgoing payments to vendors – remittance advice

Ad hoc assignments as assigned by Finance Management team
Examples include, but are not limited to:

Maintain and scan A/P files – file into batches

Pulling records for Public Record requests

Scanning invoices

Making copies
