We’re seeking a detail-oriented Administrative Assistant to support digitizing, reconciling, and managing permit records and processes. This role involves working with permittees, ERP software, and Microsoft Office to ensure accurate recordkeeping and efficient workflows.
Key Responsibilities:
Digitize and archive physical permit records into a centralized system.
Update and reconcile permit records using ERP software (e.g., Accela).
Communicate with permit holders regarding payments, insurance, and other requirements via phone, email, or letter.
Track and manage accounts receivable for property permits.
Support the internal dunning notice cycle, including tracking responses from overdue permit holders.
Provide recommendations to streamline the permit invoicing process.
Actively participate in project meetings and development sessions.
Skills and Qualifications:
Strong organizational and database reporting skills.
Proficiency in Microsoft Excel and Adobe.
Excellent communication and interpersonal skills.
Bonus Skills (preferred but not required):
Experience with relational databases.
Familiarity with Microsoft SharePoint site management.
Education Requirements:
Associate’s or Bachelor’s degree in Business Administration, Accounting, Finance, Information Technology, or a related field.
