About This Opportunity
We are seeking an Administrative Program Specialist II or Sr.
The Program Specialist – Engineering provides a broad range of administrative and operational support services to our Engineering Business Unit and our Engineering Director. Working within a team of engineers and alongside the Engineering Director and performing a wide range of work, the Program Specialist II is responsible for maintaining and improving existing internal team processes, identifying opportunities to develop and implement new processes, and providing high level organizational and operational support to the Engineering Director. The Program Specialist also takes on special projects/assignments at the discretion of the Engineering Director.

What You Will Be Doing:

Provide overall administrative support to the Engineering Business Unit. Assist with identification and implementation of improvements to existing internal processes.
Support the coordination and planning of engineering meetings, events, and internal trainings. Record and publish meeting minutes.
Support the Subsystem Training Program by organizing meetings, preparing and distributing meeting minutes, and coordinating with internal and external presenters.
Keep engineering-specific tools, such as proposal generation tool, updated with most recent rates and information.
Manage invoicing process for corporate energy management and customer direct work performed by Engineering Business Unit.
Support of customer-focused internal teams via team SharePoint site development, coordination of meetings, and collaboration with engineers to improve program-specific internal processes.
Use internal software to carry out team project data entry and file management needs. Work with individual engineers to ensure project lists reflect workload accurately.
Assist with project report and proposal writing.
Develop and maintain project workflows for utility program work and corporate energy management work as needed.
Perform administrative quality checks of engineering reports and related project tracking. This requires checking each engineering report for grammar, structure, and compliance with customer contractual requirements such as due dates, format, rate schedules, and report content. This includes documenting this process and managing the internal technical quality control process.
Assist with new engineer onboarding, including coordinating site visits. Identify and implement opportunities to continuously improve this process.
Work with corporate technical leads, outside contractors, and account managers to schedule tune-up services per contract requirements and availability of customer/Cascade resources, as well as scheduling follow up services per customer specific plans.
Act as the primary contact with our customers to ensure clarity on tune-up dates.
Maintain tune-up tracking sheets and overall coordination of tune-up staff capacities to ensure available resources for corporate energy management demand.
This is a remote, full-time, non-exempt position located in Pacific or Mountain time zones. Minimal travel is anticipated for this role.
Qualifications
Applicants for this role are required to have:
Associate or bachelor’s degree preferred (or significant coursework completed), with preference for business administration, project management or similar area of study
Two years or more of work experience in a technically focused, customer service role
Previous experience managing multiple customers and programs across multiple locations
A successful candidate should also demonstrate these preferred characteristics and/or skills:
Previous experience with continuous improvement programs desirable
Experience in the energy industry preferred

Compensation & Benefits
Our total rewards include competitive pay and excellent benefits. The salary range for the level II position, based on national average, is $56,300 – $70,400 (annualized hourly wage). However, final salary offered may vary depending on non-discriminatory factors such as job-related knowledge, skills and experiences, and geographical location.
