Role Summary: The Executive Assistant is a key support role, ensuring seamless operations for the CEO, leadership team, and Board of Directors. This position manages critical administrative functions, facilitates communications, coordinates meetings, and oversees office operations to enhance organizational effectiveness. As a central point of contact, the Executive Assistant plays a vital role in maintaining efficiency, governance, and strategic coordination across the agency.
Key Responsibilities:
Administrative and Communication Support o Provide comprehensive administrative support to the CEO and executive leadership team, including daily administrative operations, calendar management, meeting coordination, and travel arrangements.
Support the administration of the Board of Directors including maintaining accurate and up-to-date contact information for governing boards and committees, coordinating schedules and meetings, ensuring compliance with required annual submittals and certifications, and facilitating clear and timely communication to enhance organizational effectiveness and governance.
Draft, proofread, and edit emails, reports, presentations, and other documents. o Assists CEO in communicating with staff, board, committees, councils, and partners.
Manage and prioritize incoming communications (emails, calls, and correspondence), ensuring they are directed appropriately.
Prepare responses to routine correspondence and inquiries.
Act as initial point of contact for visitors and callers, ensuring a professional, friendly, and community-focused image, greeting and assisting guests and directing them appropriately
Meeting and Event Coordination
Handles scheduling and coordination of meetings, conference calls, and appointments across multiple calendars using scheduling software.
Compiles, edits, and cross-checks meeting agendas, supporting documentation information and support materials for Board of Directors, Executive Committee, and Finance Committee.
Prepares and distributes official documents and communications for board and committee meetings including calendar invitations, appointments and RSVPs to confirm quorum.
Assist in preparing and organizing materials for meetings, including printing and assembling board meeting packets.
Coordinate logistics for meetings and staff gatherings, including food pickup, setup, and equipment needs.
Take minutes at board, committee, and other organizational meetings as needed.
Manage office events and celebrations, such as birthdays and special occasions.
Office Management
Oversee daily office operations, including management of office supplies, equipment maintenance, and related vendor relationships.
Maintain an organized office environment, including shared-use areas.
Act as the central point of contact for office-related inquiries and ensure all administrative tasks are completed efficiently.
Maintains a tracking system of policies and internal procedures, ensuring policies are current and reports are in compliance.
Ensures board and committee information is current on the website.
Knowledge and Skills:
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Extremely proficient with office computer software with the ability to learn new or updated software.

High school diploma; Bachelor’s degree in Business Administration or related field is a plus.
At least four years of administrative, office management and/or experience.
Physical Requirements and Travel: The ability to meet standard physical demands of an office environment, including prolonged periods of computer use, and the ability to lift up to 25 pounds. Reasonable accommodations will be made to enable individuals to perform the essential functions.
Location: Boise, Idaho.
Competitive Package: This is a full-time non-exempt level position with an annual salary range starting at $45,000 commensurate with experience and qualifications, along with a comprehensive benefits package including health, dental, vision insurance, and a retirement match.
