Purpose of role : The Partner Assistant supports the Financial Planning Partner(s) in providing the required levels of client services to our clients.

The Assistant is part of a regional team and collaborates with other Assistants in their office as well as with regional team members.

The Assistant oversees administrative, operational, and client support functions for the Financial Planning Partner and acts as the liaison between the practice and the regional or head office.

Categories : Client Services – Implements the client service experience as defined by the Head of Operations.

Responsible for administrative processes, transactions, queries, and reporting within the Financial Planning practice(s).

Acts as liaison between the Financial Planner Partner and product providers (PPs).

Capable of following the formal complaint resolution process.

Serves as the point of contact for clients, ensuring efficient delivery of client requirements on behalf of the Financial Planning Partner(s).

Adheres to the culture and principles of Treating Customers Fairly.

Operations : Collects all client-related information, prepares documentation for engagements, and manages client transfers and new business transactions, ensuring accuracy and completeness.

Monitors submission of intermediary appointment notes and new business applications, arranging medicals and follow-ups as needed.

Provides ongoing support and maintenance to the Financial Planning Partner and clients.

Checks and manages commission statements, suspense accounts, and escalates issues regarding commissions or fees.

Supports operational activities for Portfolio Managers and CRMs, including data pre-population and instruction management via XPlan.

IT & Systems : Prepares client portfolios using Astute and product provider data, ensures XPlan policy schedules are current, and manages client data entry and documentation uploads.

Distributes communications to clients as per the client management plan and manages client reviews using NAV and the client review template.

Maintains an accurate diary system, addresses technology issues, and liaises with support desks.

NAV & KPIs : Understands NAV data to support the Practice, tracks KPIs, and liaises with the Practice on data and practice attributes.

Marketing Support : Assists with organizing client events and strengthens client relationships as a primary contact.

Office Management : Supports office operations including reception, facilities, and procurement of supplies and marketing materials.

Knowledge & Competencies : Understanding of FAIS and FICA legislation, proficiency in Microsoft Office, SharePoint, XPlan, and good communication skills. Demonstrates high energy, meticulous attention to detail, initiative, organizational skills, teamwork, professionalism, and confidentiality.

Qualifications and Experience : 2-3 years in financial services, relevant tertiary education or courses.
