Overview:
Will be working daily out of the Signature Corporate Office!!!
Provide high-level executive support for both the VP of Procurement and Chief Financial Officer supporting operational efficiency within both departments.
Support two levels of Senior Team through a variety of tasks related to organizational communication and documentation.
Responsible for confidential and time sensitive material and is expected to be familiar with a variety of administrative concepts, practice and procedures.
Responsible for screening calls, making travel and meeting arrangements, preparing reports and financial data.
How you Will make a Difference:
Answer and direct phone calls, emails and correspondence for the VP of Procurement in a professional and timely manner.
Organize and schedule appointments, meetings and events for the VP of Procurement.
Maintain Procurement’s contact lists and filing systems (physical and digital).
Support daily logistical requirements such as (new user development, vetting proposed vendors, processing quotes (physical and digital).
Act as a crucial liaison for the VP of Procurement effectively mediating communication and coordination between suppliers.
Act as confidential assistant to Chief Financial Officer, (CFO).
Act as a liaison for the CFO with appointments and guests, assuring that meeting timelines are met and take initiative to assure the CFO’s scheduling is achieved and planned.
Coordinate the CFO’s travel arrangements, book flights, schedule hotel reservations and create detailed itineraries.
Serve as the communication hub for all direct reports to the CFO including scheduling meetings, following up on tasks and coordinating projects.
What you Need to make a Difference:
Bachelor’s degree in business administration or related field.
Minimum of (4) four years’ experience in administrative support role at the C-Level
Effective verbal and written English communication skills.
Demonstrate intermediate to advanced skills in Microsoft Word, Excel, Power Point and Outlook and Internet navigation.
