About the Role

This is a high-impact, part-time operational role with a boutique law firm. The Firm Administrator is responsible for keeping the business running smoothly across finance, people, technology, marketing, and day-to-day practice operations.

You will work directly with firm leadership and serve as a key operational partner to the practice. This role requires someone who is both hands-on and organized, comfortable executing daily responsibilities while also bringing structure, improving workflows, and supporting better decision-making.

What You’ll Do

Finance

  • Manage invoicing and accounts receivable, including client communication
  • Oversee WIP tracking and financial reporting
  • Handle check entry, deposits, and bookkeeping entries (including trust accounting)
  • Build Excel-based reporting to support leadership decision-making
  • Coordinate with external CPA as needed

People

  • Administer payroll and HR processes through ADP
  • Manage onboarding and offboarding
  • Support internal training and documentation

Technology

  • Manage Actionstep and the broader firm tech stack
  • Oversee licenses, subscriptions, renewals, and associated costs
  • Manage password protocols and user access
  • Troubleshoot issues and coordinate with vendors

Practice Operations

  • Manage client intake, engagement, and matter closing in Actionstep
  • Build and maintain workflows, including task triggers, templates, and document automation
  • Oversee vendor relationships and contract management
  • Maintain firm procedures and operational consistency
  • Manage file retention and e-document destruction
  • Oversee insurance and malpractice policy administration

Practice Support

  • Assist with potential client vetting and follow-up
  • Support conflicts checks and related processes
  • Pull and organize data to support case and client work

Marketing & Business Development

  • Execute email campaigns and mailings through Constant Contact
  • Support social media and website updates
  • Prepare RFP packages and assist with proposals
  • Coordinate speaker logistics and related initiatives
  • Maintain contact database and support relationship tracking

Administrative Support

  • Oversee electronic filing and document management
  • Coordinate calendars, meetings, and deadlines
  • Manage task tracking and project coordination
  • Provide document formatting and word processing support
  • Handle data entry and general operational support

  • You are comfortable generating custom reports from Actionstep or similar systems (ERP/CRM/practice management). You are not limited to standard reports and can pull data that helps inform decisions.

What We’re Looking For

  • Experience in a law firm, professional services firm, or similar environment
  • Hands-on experience with Actionstep or comparable systems strongly preferred
  • Experience with ADP payroll and HR administration
  • Strong Excel skills for reporting and analysis
  • Ability to document processes and improve workflows
  • Comfortable managing multiple systems and tools
  • Highly organized, self-directed, and able to work independently in a remote environment
  • Professional, discreet, and comfortable handling confidential information
  • Curious and proactive, with the ability to figure things out and take ownership
