Job Description
Administrative Assistant III
About the Position: The Administrative Assistant III plays a crucial role in supporting the efficient operation of the organization by overseeing fleet coordination, managing invoices, handling purchasing tasks, and processing purchase order (PO) requests. This position requires a detail-oriented individual with excellent organizational and multitasking skills, as well as strong communication abilities to effectively interact with internal and external stakeholders.
In addition to these responsibilities, the Administrative Assistant III will also be responsible for:
Training Presentations at Facilities:
Assisting in conducting ALICE training.
Assisting in conducting Defensive Driver training.
Workers’ Compensation:
Supervising light-duty workers from OCCIC/OCRU at the central office.
Creating and distributing monthly workers’ compensation reports to facilities.
Researching workers’ compensation statutes to assist with claim investigations and handling processes.
Assisting in analyzing workers’ compensation data to reduce the overall number of claims.
Fleet Utilization:
Creating weekly fleet utilization reports and dashboards for facility distribution.
Notifying facilities and drivers of unsafe behaviors.
Notifying facilities when AVLs are not reporting and following up until the issue is resolved.
Tort Liability:
Researching the Governmental Tort Claims Act (GTCA) to assist with compliance and liability concerns.
Safety:
Assisting in conducting health and safety site inspections at facilities and reporting mitigation recommendations.
This role requires a proactive and adaptable individual who can effectively manage multiple priorities while ensuring compliance with policies and regulations.

Minimum Qualifications and Experience:
Education and Experience requirements at this level consist of a bachelor’s degree plus two years of technical clerical, secretarial, or general office work, or an equivalent combination of education and experience.
Special Requirements:
Applicants must be willing and able to fulfill any job-related travel normally associated with this position and as such have a valid driver’s license
