Schedule: Regular, 12 mo., FT, M-F 8am-5pm
Job Summary:
This position recruits, hires and keeps records for work-study student assistants using ADP or other payroll software. The person trains, oversees and coordinates schedules of student assistants at the main desk. This position is also responsible for the office administration and building needs including managing supplies, coordinating the building schedule, record keeping, and working with facilities management on building issues.
Duties/Responsibilities:
Recruit, hire and schedule library work study student positions. Requires working with HR and Financial Aid
Work with other staff to train work study students
Oversee circulation, processing and shelving work study positions, approving timesheets, etc.
Staff front desk as needed
Implement circulation policies and procedures, including billing for lost items and overdue fines as needed
Liaison with Security and Campus safety on crisis management procedures.
Oversee stack maintenance and shelving in cooperation with the Systems Librarian
Oversee mail processing and delivery
Maintain and order supplies for the Library
Organize routines for opening of library building
Bill for lost items and VACA equipment overdue fees
Make cash deposits for income from copiers, book sales and other sources
Take minutes for library staff meetings
Liaison to other departments in building (IT and ASC) for maintenance issues
Liaison to IT for copiers and printers
Liaison to Facilities Management for building maintenance
Other duties as assigned
Required Skills/Abilities:
Ability to interpret and analyze information for effective decision making

Attention to detail for preparing and maintaining accurate records, correspondence, and coordinating information
Ability to demonstrate excellent problem-solving and conflict resolution skills, and the ability to deal effectively with a variety of situations and constituents
Ability to take initiative, set goals, prioritize and organize job tasks and workload in order to meet deadlines, ability to complete work in a timely manner and communicate progress routinely
Demonstrated ability to think strategically, critically, and creatively
Ability to use a PC and software such as Microsoft Office and Google
Ability to operate commonly used office equipment such as a copy machine, phone, etc.
Ability to communicate effectively in writing and verbally with a wide variety of constituents
Ability to build relationships that balance the multiple, varying, and sometimes conflicting interests of diverse stakeholders
Ability to maintain confidential information and materials
Demonstrated commitment to high standards of customer service
Ability to frequently work hours outside of the normal work schedule, such as evenings and weekends
Education and Experience:
Associates degree with 3 years work experience required; Bachelors degree preferred.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit and use hands and fingers, to handle, or feel. The employee is occasionally required to stand, walk, and climb or balance. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision. The employee must occasionally travel to meetings and conferences off campus, which may include some overnight travel.
Supervisory Responsibilities:
Directly supervises 26-30 student employees. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.
