Novo Behavioral Services is a compassionate provider of high-quality Applied Behavior Analysis (ABA) services, committed to supporting clients and families. We are seeking an organized, efficient, and friendly Full-Time Bilingual-Spanish Speaking Receptionist to join our team. As the first point of contact for our clients, you will play a key role in delivering exceptional customer service and administrative support to ensure smooth office operations.
Key Responsibilities:
Manage client and staff schedules using ABA-specific software platforms.
Communicate effectively with therapists, administrative staff, and management.
Schedule and confirm appointments, ensuring accuracy and attention to detail.
Adapt to dynamic daily demands, including calendar adjustments, phone calls, texts, document interpretation, and authorization reviews.
Maintain cultural sensitivity and provide excellent service to clients of diverse backgrounds.
Organize and prioritize multiple schedules based on individual needs and company guidelines.
Answer and route incoming phone calls to appropriate personnel professionally.
Assist clients with inquiries, paperwork, and check-in processes.
Manage high volumes of calls and emails while prioritizing tasks effectively.
Update and maintain client records in the company database.
Handle mail, packages, and deliveries, and assist with billing and insurance paperwork as needed.
Perform general office tasks such as photocopying, filing, and faxing.
Assist clinician credentialing, scheduling, PTO coordination.
Relay accurate messages to team members promptly while maintaining confidentiality of sensitive data.
Qualifications:
Experience:
1 year of direct scheduling experience in a medical setting or 2 years in a related field required.
6 months of experience working directly in the ABA field is a plus.
Education:
High school diploma or equivalent required; college degree preferred.
Skills:
Bilingual-Spanish proficiency required.
Strong organizational and time management skills with the ability to manage diverse workloads.
Proficiency in Microsoft Office (Word, Excel, Outlook) and internet-based applications.
Knowledge of office operations, business etiquette, and telephone protocol.
Exceptional customer service skills with the ability to problem-solve independently.
Discretion and confidentiality when handling sensitive information.
Flexibility and adaptability to high-pressure situations and changing priorities.
Benefits:
Competitive pay: $20.00 – $24.00/hour (40 hours per week)

Additional Requirements:
DOJ and FBI fingerprint clearance.
