WORKING TITLE: Administrative Support Assistant

DEPARTMENT: Administrative Operations

POSITION LOCATION: Morganton

POSTING DATE: 5/30/24

CLOSING DATE: Open until filled

POSITION TYPE: Temporary part-time, Non-exempt

HOURLY RATE: $16.00, 8-12 hours per week based on the Administrative Support schedule and needs. There may be certain weeks that require full 40-hour coverage based on vacation schedules for Administrative Support staff.

Description of Duties:

The Administrative Support Assistant will provide additional administrative support in the NCSSM-Morganton division. Tasks will include desk duty coverage for the Administrative Support Associate as needed, based primarily around lunch coverage and vacations. This role will also be responsible for restocking workrooms and break rooms weekly. The Administrative Support Assistant will file documents, complete data entry, organize bookkeeping, finalize documentation, and complete additional tasks while staffing the front desk. This team member will serve as an administrative backstop for several functions on campus, including but not limited to, providing additional event coverage, staffing front desks across campus, and contributing to large-scale administrative projects. This role is fully in-person on Morganton’s campus and does not offer remote/hybrid work.

Knowledge, Skills, and Abilities:

Information/Records Administration: Coordinates varied records processing activities requiring the application and some interpretation of agency procedures, policies, laws, and regulations. Reviews information for completeness and accuracy using multiple guidelines.

Problem Solving: Recognizes, defines and resolves non-standard problems using operating procedures, practices and established precedents. Resolves recurring issues and problems as well as some unique situations. Anticipates problems and develops recommendations for management resolution.

Communication- Verbal: Presents ideas in a clear, concise, organized manner. Explains and interprets programs, policies and procedures to meet the specific needs of staff and clients. Advises program staff/clients in all matters related to program operations.

Communication- Written: Composes and organizes ideas logically, works in multiple formats such as letters, memos, reports or presentations, and can change/adjust style to meet the needs of the program and audience. Reviews sensitive materials and edits content constructively.

Office Technology: Selects, understands and fully applies a variety of features in software programs, databases, information systems, and specialized equipment

Minimum Education and Experience:

Graduation from high school and one year in an administrative role; or an equivalent combination of education and experience. Diplomas or degrees must be received from appropriately accredited institutions

Preferred
Bachelor’s Degree

2-3 years professional experience in an administrative role

Professional and friendly customer service

Organization and attention to detail

Ability to work independently

Demonstrated ability to work well with a diverse team and stakeholders
