Company Overview:
Our professional services firm is seeking a highly skilled and proactive Executive Assistant to support our CEO. As a key member of our team, you will play a pivotal role in ensuring the smooth operation of our executive office, managing the CEO’s calendar, email, and other administrative tasks. This position requires a high level of professionalism, discretion, and the ability to make informed decisions on behalf of the CEO.
Job Summary:
We are looking for an exceptional Executive Assistant who can provide comprehensive support to our CEO, both domestically and internationally. The ideal candidate will be a strategic thinker with excellent communication skills, strong organizational abilities, and the capacity to learn and adapt quickly. This role involves extensive travel with the CEO, so flexibility and a willingness to work in a fast-paced environment are essential.
Key Responsibilities:
Calendar and Scheduling Management: Manage the CEO’s professional and personal schedule, ensuring seamless coordination of meetings, appointments, and travel arrangements.
Email and Communication Management: Handle all email correspondence on behalf of the CEO, drafting responses, and ensuring timely communication with internal and external stakeholders.
Travel Arrangements: Organize and coordinate travel logistics, including flights, accommodations, and transportation.
Decision Making: Learn to make small decisions on behalf of the CEO, aligning with their style and preferences.
Project Support: Assist in project management tasks, providing administrative support to ensure projects are executed efficiently.
Event Planning: Coordinate internal and external events, ensuring all logistical aspects are well-planned and executed.
Confidentiality and Discretion: Maintain confidentiality and handle sensitive information with discretion.
Professional Development: Continuously improve skills and knowledge to enhance support to the CEO and the organization.
Requirements:
Experience: Minimum 3 years of experience as an Executive Assistant or in a similar role supporting senior executives.
Skills:
Excellent communication and interpersonal skills.
Strong organizational and time management skills.
Ability to multitask and prioritize tasks effectively.
Proficiency in Microsoft Office Suite and other productivity tools.
Strong problem-solving and decision-making abilities.
Education: Bachelor’s degree preferred, but not required for candidates with extensive experience.
Travel: Willingness to travel frequently, both domestically and internationally.
