POSITION:
Administrative Assistant to the Superintendent
CATEGORY:

TERMS OF EMPLOYMENT:
Full-time (12 month employee) 8 hours per day; 260 day contract, prorated if start after July 1, 2025.
QUALIFICATIONS:
High School Diploma with Associate Degree or Bachelor’s Degree Preferred.
Knowledge of computers, multimedia and other technologies.
Microsoft Windows and Google/Chrome-based hardware and software experience.
Excellent oral and written communications.
Successful Drug test and BCI & FBI background checks.
DUTIES:
General Duties include all aspects of secretarial work, many of which are of a confidential nature. Interaction with the general public requires the the Superintendent’s Secretary be discreet, cooperative, tactful and courteous.
Specific duties include but are not limited to:
Assist with HR and related tasks.
Assists with grants and related tasks.
Provides administrative support to ensure efficient operation of personnel.
Assists with office organization and business related tasks.
Support in Family Medical Leave Act (FMLA), and related matters.
Assists with design, coordinating in-service opportunities.
Maintains files of Board of Education Office, prepares personnel contracts and maintains seniority lists.
Prepares materials for Board Meetings; agenda, minutes and notifies media of Board of Education meetings. Files all board materials after meetings.
Assists Superintendent with preparation and review of board policies and regulations.
Assists staff with certification procedures and various paperwork completion.
Assists potential employees with drug tests, BCI checks, I-9 forms, and other application procedures.
Maintains Superintendent’s calendar.
Enters requisitions for purchase orders and tracks Superintendent’s orders and invoices for payment submission to Accounts Payable.
Maintains minutes of suspension and expulsion hearings.
Maintains payment in-lieu forms and tracks for payment at school year end.
Handles incoming phone calls and greets all guests.
Prepare student work permits, senior citizen passes & facility requests.
Prepares reasonable assurance letters.
Processes all incoming mail.
Maintains strict confidentiality.
Must be willing to carry out the duties of the job description.
Additionally, such duties as assigned by Superintendent/Designee.
