CLASS DESCRIPTION:
The purpose of the class is to provide executive-level administrative and clerical support to the assigned division and division commander. Support may include but is not limited to, performing and supervising a variety of office tasks as a generalist in support of administrative, program, or technical operations. This class may supervise administrative support staff in duties and activities. The employee in this class must have the ability to manage confidential and highly sensitive material, be able to multi-task, and work independently. Work is performed under general supervision according to established guidelines requiring minimal decision making.
ESSENTIAL JOB FUNCTIONS:

Performs administrative support functions as required, such as serving as the designated “timekeeper”, maintaining the fleet database, procuring goods and services, compiling expense and forecast data for budget preparation and management, and submitting expense and/or revenue reports for accounting.
Responds to complaints received internally and externally by phone, mail, or email as required.
Attend meetings, transcribes minutes, and other records of meetings as requested.
Performs other clerical duties as needed, such as sorting mail, filing, and retrieving appropriate records and data upon request, and answering incoming phone calls.
Prepares skilled written and verbal communication with federal, state, and local officials, staff, and the general public regarding policies, procedures, and operations of the assigned division.
Establishes, prepares, maintains, processes, and/or audits a variety of agency documentation and detailed reports.
Establishes and maintains a limited budget; balances and reconciles records and directs the preparation of budget reports.
Maintains and controls the office filing system(s) according to established procedures and confidentiality guidelines.
Supervises other administrative support staff as assigned.
Maintains and accesses computer information systems and/or software to respond to requests.
Produce, review, update, and revise a variety of office records, documents, and reports.
Independently prepares documents, reports, and publications of varying levels of complexity.
Carries responsibility for accuracy and completeness of records of program activities.
Coordinates special projects within the functions of the division.
Coordinates scheduling, meetings, and travel arrangements for staff.
Assists in the process of ordering, distributing, and inventorying supplies and equipment.
Assists in the development of policies and procedures pertaining to various aspects of the administration of the assigned division.
Serves as liaison to various external organizations as well as staff;
Performs other duties as required or assigned.
MINIMUM QUALIFICATIONS:
Four (4) years of progressively responsible administrative/office management experience, which involves similar tasks and processes.
Bachelor’s Degree in Public Administration, Business Administration, or related field from an accredited institution preferred.
At a minimum, all employees must be at least 18 years of age (upon the date of hire); have a high school diploma or equivalency; have no felony, drug, or domestic violence convictions; pass all required pre-employment screenings; possess a valid Louisiana driver’s license; be able to communicate both verbally and in writing as required; and possess basic computer skills such as typing, writing reports, and sending and/or receiving emails as applicable to the position.
WORKING CONDITIONS AND ADDITIONAL INFORMATION:
Work is performed in an office environment.
Work schedule may include nights, weekends, and holidays as required. May require working varying shifts any day of the week.
In the event of a hurricane, major storm, natural or human-made disaster that may threaten the area, the employee will be expected to work.
ADA COMPLIANCE:
Physical and Dexterity Requirements: The job requires some combination of walking, standing, kneeling, pushing, stooping, reaching above the shoulder, grasping, pulling, and bending, and exerting up to 25 of force regularly. Tasks may involve sitting for long periods of time. Requires routine computer/keyboard operations.
Environmental Hazards: This job risks exposure to office-related dust, fumes, and odors. Possible exposure to animal hair and dander.
Sensory Requirements: This job requires normal visual acuity and field of vision, hearing, and speaking.
TRAVEL:
Limited travel inside/outside of Natchitoches Parish (0 – 10%).
