Description

The Front Desk/Admin Assistant will be the first point of contact for the public at Caritas Legal Services, handling calls and greeting visitors. Responsibilities include answering multiline phones, assisting with office tasks (copying, filing, mailing, payments), translating documents between Spanish and English, managing client files and data, and supporting outreach activities. Must communicate effectively in Spanish and English and be sensitive to the community’s cultural and socioeconomic backgrounds.

Responsibilities

Answer and direct phone calls appropriately.

Greet clients and assist with forms and appointments.

Process payments via credit card and other methods.

Organize client files and make copies as needed.

Translate documents and assist staff with Spanish-speaking clients.

Refer clients to additional services when appropriate.

Manage mail distribution and mailing tasks.

Complete tasks assigned by senior staff, assist with outreach events, and maintain client database and files.

Adhere to safety protocols and protect confidentiality of all client and organizational information.

Participate in departmental functions and uphold the organization’s mission and values.

Requirements

Minimum Qualifications

High School Diploma or GED.

At least 2 years of customer service experience, including 1 year in public relations.

Reliable transportation, valid driver’s license, and vehicle insurance.

Bilingual in Spanish and English preferred.

Knowledge and Skills

Proficiency with Microsoft Office and data entry.

Experience handling credit card payments and customer service.

Additional Information
