Job Context:
To manage front desk operations and support daily administrative functions, ensuring a professional, welcoming environment for visitors and seamless office coordination, including visitor/courier tracking, vendor management, inventory control, and meeting logistics.
Key Responsibilities:
- Communicate necessary information along with the visitor and the employee for various requirements.
- Ensure all kinds of external visitors in-out and required coordination on a daily basis.
- Manage log book for all kinds of parcels/packages which come from abroad and local vendors to determine the proper traceability.
- Maintain the logbook register in order to courier and other outside documents.
- Maintain reception work to run the front desk smoothly.
- Assist the Admin Department in day-to-day office operations, including stationery inventory management and office equipment upkeep.
- Coordinate with vendors and service providers (e.g., cleaning, security, courier, IT support) to ensure uninterrupted office services.
- Maintain and update visitor logs and meeting room schedules on a daily basis.
- Support in organizing internal meetings, events, and training sessions by arranging logistics, refreshments, and necessary documentation.
- Assist in processing administrative requisitions, bill submissions, and maintaining petty cash records for front office and admin-related expenses.
- Prepare basic letters, memos, or internal communications as directed by the Admin Head.
- Ensure proper upkeep of the reception area, conference rooms, and common spaces, reporting any maintenance or repair needs promptly.
- On a day-to-day basis, other tasks are to be completed as required by admin.
Key Requirements:
- Bachelor of Business Administration (BBA), Arts (BA), Social Science (BSS) or related fields.
- Experience: 1 to 2 years
Additional Requirements:
- Strong command of spoken and written English with the ability to communicate confidently and professionally.
- Hands-on experience in handling front desk communication and coordination.
- Good interpersonal and organizational skills with a presentable personality.
