ORGANIZATIONAL RELATIONSHIPS:

Reports to: Receives direction from Trustee, Office Manager & WWPL Executive Director

JOB SUMMARY:

Front Desk Receptionist – Answer and direct incoming calls

Guest Services – Assist Clients, program attendees, room reservations

Programming Assistance- CivicRec management, data entry, analysis

Room Reservations – Coordinate, manage, set up and tear down of space for reservation requests

Assist WWT staff – Programming. Marketing. Program preparation (materials, room set up,etc)

Executive Administrative Assistant for WWT Office Manager, WWT Trustee, WWPL Executive Director & WPL Foundation – Executive Admin and Special Projects

MAJOR JOB RESPONSIBILITIES: (duties are illustrative and not inclusive)

Front Desk Coordinator
Assist in the preparation of regularly scheduled reports
Retrieve mail, distribute and prepare outgoing mail
Reply to general inquiries with accurate information using a professional and courteous manner
Greet clients/suppliers/visitors to the organization in a professional and friendly manner
Maintain and update the organization’s databases for accuracy
Forward incoming correspondence to the appropriate staff member
Purchase, receive and store the office supplies ensuring that basic supplies are always available including break room, general office supplies, etc
Maintain and organize office files according
Make travel, schedule meetings and other arrangements for staff
Ensure proper operation of office equipment
Carry out administrative duties such as filing, typing, copying, binding, scanning
Provide general support to the Trustee & Office Manager as needed
Must be able to work nights and weekends for programs & events as necessary
Assists other staff in planning, coordinating, and supervising a variety of recreational programming, activities and special events

QUALIFICATIONS AND SKILLS:

Bachelor’s degree or equivalent; Proven experience in relevant position
Tech savvy; proficient in MS Office, Google platforms, Adobe
Team player who is resourceful, proactive, and comfortable working with diverse populations
Self-motivated and able to work with minimal oversight
Excellent time management and organizational skills
Outstanding written and verbal communication skills
Customer focus
Ability to handle stressful situations appropriately
Excellent time management skills and ability to multitask

SUPERVISION:

This position performs varied administrative and support duties following established policies, procedures, and practices to conduct the normal functions of the Township’s office. Employee works under minimal supervision and in combination with others on topics and issues of a complex, diverse, and highly confidential nature. This position has no supervisory responsibilities.

Pay: $20.00 – $22.00 per hour

Monday to Friday
Weekends as needed
