General Description
The Administrative Coordinator I coordinates operations, finance systems, policies and procedures as well as provides clerical support and record maintenance to department staff. Processes invoices, purchase orders, prepares reports, and performs other office functions while delivering excellent customer service.
The schedule for this full-time position is Monday through Friday 8:00 AM to 5:00 PM, with the option to go to four 10-hour shifts after successful completion of the probationary period.
Essential Functions
Answers division phone calls and prepares outgoing mail
Coordinates office management, schedules, and meetings
Handles correspondence, forms, requisitions, billing, filing, and reports
Assists in budget preparation, project coordination and office administration duties
Serves as payroll timekeeper, asset custodian, records custodian, and purchasing card representative for division
Processes and approves operating and grant invoices in OnBase
Balances, maintains, monitors, and reconciles budget account and Capital Improvement Project (CIP) expenditures
Maintains and monitors purchase and change orders
Assists Division Director, maintaining calendar, coordinating forms/signatures, managing correspondence
Manages travel arrangements for division staff
Enters and tracks division’s agenda items for the Board of County Commissioners
Tracks project hours and prepares journal vouchers
Attends meetings as required
Performs other duties as required
Minimum Requirements
Education, Training, and Experience
Associates degree, vocational technical degree, specialized training, or related work experience equivalent to two (2) years of college education.
One (1) year relevant experience.
Budgeting/Financial experience, preferred
Certificates, Licenses, Registration, Skills
Valid Florida Driver License (or must obtain within 30 days of establishing residency in Florida), or valid Florida Identification Card is acceptable only for positions not required to drive a county vehicle.
May require Notary Public Certification.
Thorough knowledge of business English, spelling, punctuation and office practices and procedures.
Excellent customer service skills, communication skills and strong attention to detail required.
Ability to effectively communicate (verbally and in writing) in a clear, confident manner using proper grammar.
Must have strong organizational skills to plan, prioritize, multi-task and independently execute projects/tasks within specific deadlines while maintaining flexibility.
Requires ability to maintain courteous and effective relations with County staff, elected officials, community interest groups and the public.
Must have strong working knowledge of computers and be proficient in the use of Microsoft Office Suite of Products (i.e., Outlook, Word, Excel, etc.) and extensive knowledge of Excel functions and details spreadsheets.
Must have or be able to obtain within 90 days certification in FEMA National Incident Management System (NIMS) courses:
IS-100.c: Introduction to the Incident Command System (ICS); and
IS-700.b: An Introduction to the National Incident Management System
Physical Requirements/Work Environment
Requires sitting most of the time.
The job involves frequent lifting and carrying up to 10 pounds, and occasionally up to 20 pounds.
The job requires frequent balancing, and occasional reaching above shoulders.
The job requires the completion of tasks that involve typing and simple grasping.
The job requires normal visual acuity and field of vision, hearing, and speaking.

Emergency Response/Recovery Activities
All employees will be required to work before, during, or after an emergency. During an emergency, employees may temporarily be assigned to work and perform duties outside the normal scope of their position, location, and work schedule to fit the needs of the County and its citizens. Emergency response duties may also include driving and/or operating a county vehicle or equipment and employees must obey all safety policies, and roadway rules and laws.
