We’re seeking a reliable, organized, and proactive Personal/Executive Assistant to join our dynamic team and support the day-to-day operations of our insurance office.
Job Description:
As a Personal/Executive Assistant, you will provide high-level administrative support to the executive team and assist with managing office operations. You will be responsible for handling a variety of tasks, ensuring smooth office functions, and helping our leadership stay organized and on track.
Responsibilities:
Manage and maintain executive calendars, appointments, and meetings
Coordinate travel arrangements, including flights, hotels, and itineraries
Handle incoming calls, emails, and correspondence, acting as the point of contact for internal and external communications
Prepare and organize documents, reports, and presentations for meetings
Handle office supplies and inventory management
Assist in project management and special assignments as needed
Maintain confidential information and exercise discretion
Schedule and coordinate client meetings, including preparing necessary documentation
Provide general administrative support to the team, including filing, data entry, and office organization
Handle personal tasks for executives as needed (e.g., scheduling appointments, personal errands)
Qualifications:
Proven experience as an executive or personal assistant, preferably in an office or corporate setting
Strong organizational and time-management skills with the ability to prioritize tasks
Excellent written and verbal communication skills
High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Gmail)
Ability to handle sensitive and confidential information with discretion
Self-starter with a positive attitude and strong problem-solving skills
Exceptional attention to detail and multitasking abilities
Ability to work independently as well as part of a team
Previous experience in the insurance industry is a plus but not required
