POSITION TITLE: Front Desk/Administrative Assistant

REPORTS TO: Business Administration Manager

POSITION OVERVIEW:

The Front Desk/Administrative Assistant provides customer-facing support for all incoming visitors. Provides administrative support to the HQ, training and field teams.

ESSENTIAL FUNCTIONS:

Greets guests, vendors, students, and staff and directs them to appropriate locations in HQ.

First contact with callers to HQ – answering, routing calls, and taking messages.

Handling of all packages and mail, to include receiving items, preparing shipping labels, packaging mailing items and on occasion, dropping off packages at appropriate shipping company.

Perform various administrative duties, including composing correspondence, compiling reports, word processing and spreadsheet creation.

Organize, order, and maintain office supply inventory.

Liaison with building maintenance contacts. Escalate any serious issues to Business Administration Manager.

Perform daily administrative functions and tasks to include email correspondence and phone calls.

Maintain daily stocking and tidiness of kitchen/break areas (coffee, cups, plates, snacks, etc.)

Ensure common areas (classroom, lobby, conference room, etc.) remain well-kept and prepared for visitors.

Maintain calendar for conference room reservations.

Assist PFC training coordinator for projects and training support as needed.

Provides technical assistance to all departments and staff to ensure that their needs are met or exceeded by an appropriate level of service.

Ensures compliance with company policies and procedures as well as other applicable laws/regulations including but not limited to administrative procedures, federal government regulations and state laws.

Performs appropriate and other duties as assigned by the Business Administration Manager and
Senior Management.

REQUIRED SKILLS & QUALIFICATIONS:

GED or High School Diploma, some college, or a degree preferred.

12-18 months of experience in a position related to the essential functions.

MS Office 365 – Outlook, Excel, Word etc. advanced proficiency.

Must have a valid driver’s license at hire and throughout employment.

Must be able to obtain and maintain any required licenses.

Ability to multi-task and organize workload.

Must be 21 years of age.

PHYSICAL DEMANDS/TOOLS/EQUIPMENT

Prolonged periods of sitting at a desk and working on an LED screen, laptop and/or other general
office equipment.

Ability to lift and/or move up to 25 pounds.

Ability to use cellular devices in an effective manner.

Ability to be mobile as needed for an assignment which can include driving a vehicle, walking, and standing for prolonged periods.

Will actively have need to listen, see, and speak with clarity.

WORK ENVIRONMENT

Work may be performed inside of an office environment.

Work may be performed outside in weather and elements on a very limited basis.
