Overview

The Senior Administrative Coordinator will provide multi-faced administrative support and assistance to ensure seamless office operations by providing high-level administrative support to the Chief Executive Officer (CEO) and other senior leadership. They will play a critical role in streamlining office functions and enhancing overall productivity enabling the CEO and other senior leaders to focus on strategic priorities and high-impact activities. This position handles a wide range of administrative and operational support while independently initiating and implementing processes to manage projects, information, and both internal and external stakeholders. The Senior Administrative Coordinator’s role coordinates the executive schedules, prepares for meetings, and creates travel arrangements. The Senior Administrative Coordinator conducts research and information gathering on behalf of the senior leadership team and prepares summaries and reports. This professional develops positive and strategic relationships at all levels of the organization, maintains strict confidence, uses discretion, judgment, and knowledge of the organization to execute responsibilities with strict confidentiality.

Position Responsibilities:

Provide top-level senior executive support while maintaining high levels of discretion, confidentiality, professionalism, and judgement in a fast-paced, high visibility environment
Serve as the liaison with direct reports, internal teams/organizations, and external partners
Manage calendars, schedule meetings, follow-up on tasks, and create travel arrangements. Plan, own and run both internal and external executive events and meetings, (e.g., staff meeting agendas, meeting minutes, off-sites, special events, etc. including detailed logistics and meeting material preparation)
Design and implement processes across departments to ensure clear communication, efficiency, and operational excellence
Manage/track administrative activities and help drive completion of key deliverables, including analyses, reports, write-ups, etc.
Own and manage expense reporting and reconciliation, records management, materials preparation, and other duties as required
Build internal and external partnerships and coordinate work efforts across departments
Provide support on special projects as needed
Other duties as assigned

Skills:

Must be able to demonstrate ability to operate in a fast-paced team-oriented setting
Ability to be discrete and maintain confidential information and understand how to prioritize and respond accordingly
Strong writing skills and the ability to multitask
Strong organization and attention to detail
Proficiency in Microsoft Office is necessary
Proficient in Business Communications, Call Screening, Document Preparation, Drafting Correspondence, Inquiry Research/Response, Internal Communications, Management Reporting, Meeting Scheduling and Logistics, Project Coordination, Public Relations, Document Creation, and General Data Analysis

Qualifications/Requirements:

2-4 years of Executive Assistant, Administrative or related experience
Bachelor’s degree or equivalent
Excellent Microsoft Office Knowledge

Pay: $58,000.00 – $61,200.00 per year
