We are seeking a professional, detail-oriented, and clinically minded Salon Receptionist/Assistant to join our team. This role is ideal for someone with experience in medical reception or with the capacity and willingness to learn clinical protocols, as we serve both cosmetic and insurance patients.
As a Salon Secretary/Receptionist, you will be the welcoming face of our practice, handling front desk operations, client communications, and payment processing. Additionally, you’ll play an essential role in maintaining a clean and hygienic environment, including instrument sterilization, laundry management, and supply inventory, to support our clinical standards.

Key Responsibilities
Greet clients professionally, check them in, and guide them to treatment areas.
Manage appointment scheduling, confirmations, and changes via phone, email, and in-person.
Answer inquiries about services, including those covered by insurance; provide accurate information.
Handle payment processing, including insurance co-pays and private payments; issue receipts and maintain accurate records.
Maintain updated client records, including medical history, insurance information, and treatment details.
Communicate with insurance companies as needed to verify coverage, submit documentation, and resolve issues.
Provide cross-selling opportunities, including promotions, brochures, and gift vouchers.
Maintain the reception area and client-facing spaces to professional standards.
Manage inventory of clinical and salon supplies, including sterile instruments, linens, and disposable items.
Perform clinical support tasks, including sterilizing tools, disinfecting surfaces, and managing laundry for treatment supplies.
Ensure compliance with infection control protocols and regulatory standards.
Collaborate with the salon owner and clinical team to ensure seamless patient experiences.
Requirements
Bachelor’s degree preferred; high school diploma with relevant experience considered.
2+ years of experience as a receptionist in a salon, medical office, or similar environment.
Strong computer skills, including Microsoft Office and scheduling/EMR systems.
Familiarity with insurance billing and patient communication is a plus.
Excellent communication skills (oral and written) and a professional, calm demeanor.
Strong organizational, multitasking, and record-keeping abilities.
Commitment to hygiene and infection prevention protocols, including willingness to perform sterilization and laundry duties.
Ability to handle financial transactions and maintain confidentiality of sensitive information.
Friendly, empathetic approach to client service, with a focus on clinical professionalism.
Work Schedule, Compensation & Benefits
Schedule: Full-time (minimum 32 hours/week)
Salon operating hours: Monday – Sunday, 9:00 AM – 6:00 PM
Front desk schedule M-F 9AM to 5PM
Compensation: Competitive hourly wage based on experience (starting at $18–$22/hour)
