Program Knowledge: Position requires a thorough understanding of Federal and State student financial aid programs, policies, and procedures and be able to communicate information clearly. Position must understand the information that can or cannot be give under the Family Educational Rights and Privacy Act of 1974 (FERPA) and policies and procedures of the University and the Office of the Financial Aid. Position must be knowledgeable about student Banner and how to navigate through the student’s record to find necessary information to assist the student. This position must be knowledgeable of important dates and deadlines each semester to ensure correct information is given. Information and Records Administration: Position will review documents (examples — not all inclusive: IRS forms, Social Security Administration documents, military leave and earnings statements, Veteran’s Administration benefits letters, letters from students and/or parents, Federal Student Aid Reports, Parent Loan application/ promissory notes) that pertain to a student’s financial aid application. Position will review for completeness and compare it with information already contained on the student’s financial aid Banner record. Confidentiality of these records is crucial to the operation of the Financial Aid Office and to this position. Position must understand the Federal and State regulations surrounding Financial Aid to determine if additional information is needed or if the file is complete and can be moved forward in the process for award packaging. Position will not be responsible for determining award amounts, rather for providing information to the student about the eligibility requirements.

Communication Verbal/Written 75%
Position will spend the majority of time serving as the front line receptionist for the Financial Aid front counter. Position will answer questions specific to a student’s situation and general questions about financial aid and the University. It is expected that the position can answer at least 90% of the questions asked while serving clients. Position will give direction and instruction and screen clients and questions to determine what staff member can best assist the client if they cannot. Position must properly interpret Banner student data base information including financial aid records, cashier’s records, registration and other academic information. The employee occupying the position must treat each individual with respect and courtesy. The employee is responsible for making the client feel welcome and positive about the encounter with the student financial aid office and the University as they are the public voice of the office. Position will also respond to e-mail inquiries that are submitted through the Financial Aid website. There is a frequently asked questions e-mail address that receives hundreds of e-mails a day. These questions can vary from where is the office located to what types of financial aid do I qualify for? Position must be knowledgeable about all of the program components of the office in order to respond accurately and in a timely manner. Position will also maintain the calendar for all of the counseling staff, which requires scheduling appointments for students who need to meet with them. Position must be knowledgeable of what questions and concerns need to be referred to the counselors and which ones can be handled at the front desk. Position needs to be proficient in the use of Outlook and Calendar functions.
