We are seeking a motivated and organized Hybrid Administrative Assistant to join our team and contribute to the smooth operation of our clinic.

Job Description:

Position Overview:

The Hybrid Administrative Assistant will play a crucial role in ensuring the efficient functioning of our physical therapy clinic. This position requires a dynamic individual who can handle a variety of administrative tasks both on-site and remotely. The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills.

Key Responsibilities:

1. Patient Coordination:

– Greet patients warmly and assist with check-in and check-out processes.

– Schedule and confirm patient appointments, both in-person and virtual.

– Maintain accurate patient records and update information as needed.

2. Administrative Support:

– Answer phone calls, respond to emails, and handle inquiries in a professional manner.

– Assist with the preparation of reports, letters, and other documents.

– Manage office supplies and ensure that the clinic is well-stocked.

3. Billing and Insurance:

– Send SuperBills to each patient.

– Assist patients with insurance claims and payment inquiries.

4. Data Management:

– Maintain and organize electronic and paper filing systems.

– Enter and update patient information in the clinic’s database.

– Ensure the confidentiality and security of patient information.

5. Virtual Assistance:

– Provide administrative support to therapists and staff remotely as needed.

– Manage the clinic’s social media accounts

– Perform data entry and administrative tasks using remote access tools.

Qualifications:

– High school diploma or equivalent; associate’s or bachelor’s degree preferred.

– Previous experience in a medical or physical therapy office is a plus.

– Proficient in Microsoft Office Suite (Word, Excel, Outlook) and electronic medical records (EMR) systems.

– Strong organizational and multitasking abilities.

– Excellent verbal and written communication skills.

– Ability to work independently and as part of a team.

– Familiarity with remote work tools is an advantage.

– Compassionate and patient-focused attitude.
