Robert Half is partnering with a Saint Paul, Minnesota based non-profit client in need of a Front Desk Coordinator to support daily front office operations. This contract position will serve as the first point of contact for visitors and callers, helping create a welcoming and organized environment. The role combines reception support, administrative coordination, and routine office tasks to keep day-to-day activities running smoothly.
Responsibilities:
• Welcome guests upon arrival, manage visitor check-in, and provide clear direction to the appropriate staff or meeting areas.
• Answer incoming phone calls through a multi-line switchboard, respond to general inquiries, and route messages accurately.
• Receive, sort, and distribute incoming mail and assist with preparing outgoing correspondence and postage.
• Complete routine data entry and maintain accurate front office records and administrative information.
• Provide general back office assistance to support daily operational and clerical needs.
• Monitor reception and common office areas to ensure a welcoming, orderly, and visitor-friendly setting.
• Help maintain office supply inventory and coordinate reordering when materials run low.
• At least 2 years of experience in a front desk, receptionist, or administrative support role.
• Proficiency in handling inbound calls while balancing other administrative tasks.
• Strong customer service skills with the ability to interact professionally with visitors, staff, and external contacts.
• Experience managing visitor reception, check-in processes, and front office coordination.
• Ability to perform accurate data entry and manage routine administrative tasks with attention to detail.
• Comfortable supporting mail handling, office organization, and general clerical activities.
• Capable of prioritizing tasks, staying organized, and working effectively in a busy office setting.
