POSITION SUMMARY

The Executive Assistant (EA) is an essential member of the Operations Department. The EA will provide high-level administrative support to multiple Partners. This role requires an individual with strong organizational skills, the ability to prioritize tasks, and the discretion to handle confidential information. The EA will also assist with strategic decision-making and contribute to key business initiatives.

Essential Functions Statement(s)

Calendar Management: Schedule, manage, and coordinate complex calendars for multiple Partners.
Inbox Management: Monitor, prioritize, and respond to emails on behalf of the Partners, with daily communication of priorities and action items.
Meeting Coordination: Organize and set up meetings, including preparing agendas and taking minutes. Includes booking offsite reservations, etc., for client meetings.
Document Preparation: Draft, proofread, and format documents, presentations, and reports.
Confidential Correspondence: Handle confidential and sensitive information, demonstrating discretion and professionalism.
Client Interaction: Act as a liaison between the partners and clients, handling inquiries and scheduling client meetings.
Task Prioritization: Implement systems to manage critical tasks and projects while ensuring compliance with company policies.
Deadline Management: Track partner deadlines and ensure timely completion of tasks and projects.
Decision-Making Support: Research and analyze business-related matters and prepare reports, presentations, and correspondence for executives to facilitate decision-making.
Travel Arrangements: develop travel itineraries, including flights, accommodations, and transportation as required.
Expense Management: process expense reports and manage expense reimbursements for the Partners.
Personal Errands: Handle personal tasks for the partners if required (e.g., personal appointments, gift arrangements).
Event Planning: Provide support for events or social gatherings for the partners, including firm-related events, potentially with the Head of Marketing supervising.
Other duties, as assigned, including special projects as required by the Partners.

SKILLS & ABILITIES

Education – Minimum Requirement: Bachelor’s degree or equivalent

Experience : Three to five years of experience supporting multiple executives; a history of doing so in a professional services environment strongly preferred.

Computer Skills

Experience with Excel, Word, Outlook, and Access.

Certificates & Licenses

Excel 365 or other related certifications preferred

The base compensation for this postion is $65,000.00-$85,000.00 annually, DOE. At this time, we will not consider candidates residing in New York or California.
