Position Overview:
We are seeking a highly organized and proactive Operations Administrator to support our project management team and ensure the efficient day-to-day operations of our office. This dual-role position blends project coordination, administrative responsibilities, and office management duties. The ideal candidate will be a team-oriented professional with strong communication skills and a passion for organization and execution.

Key Responsibilities
Project Coordination
Assist project managers with planning, organizing, and coordinating project activities.

Schedule meetings, prepare agendas, and track action items to ensure project milestones are achieved.

Maintain accurate project documentation, including plans, status reports, and meeting minutes.

Coordinate with team members to ensure timely completion of deliverables.

Administrative Support
Manage calendars, including scheduling meetings, appointments, and travel.

Handle all incoming and outgoing correspondence (email, phone, letters).

Organize and maintain physical and digital files and records.

Perform general administrative duties such as copying, scanning, filing, and document handling.

Communication
Serve as a point of contact for internal staff and external clients.

Provide timely updates and ensure effective communication among team members.

Communicate deadlines, project updates, and requirements to stakeholders.

Resource Management
Assist with resource allocation and track project budgets to ensure adherence to scope and costs.

Monitor project progress, flag issues early, and propose actionable solutions.

Coordinate with vendors and suppliers to secure necessary project materials and services.

Office Management
Maintain an organized and efficient office environment, including layout planning and equipment procurement.

Manage inventory of office supplies and place orders proactively.

Ensure office procedures and operations run smoothly and efficiently.

Meeting Coordination
Organize meetings and events, including venue selection, catering, and material preparation.

Draft agendas, record meeting minutes, and follow up on action items.

Support clear communication and accountability during and after meetings.

Education & Experience
High school diploma or equivalent required; additional training or certification in project management or office administration is a plus.

Previous experience as an Assistant Project Manager or in a similar administrative capacity.

Must possess a valid driver’s license and be able to travel during daytime or nighttime hours as needed.

Requirements:

Requirements
Proven experience in an administrative or assistant project management role.

Understanding of construction processes, safety protocols, and regulatory compliance is a plus.
