Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as a Personal Assistant. As a Personal Assistant, you will provide administrative support to ensure efficient operation of the office. This is a dynamic role that requires excellent organizational skills, strong attention to detail, and the ability to multitask effectively.
Responsibilities:
– Manage and maintain executive schedules, including calendar management and appointment scheduling
– Interview and communicate with new agents, assisting them with daily needs
– Maintain and scale marketing operations for the firm to grow locally. This includes growing social media presence and other marketing verticals.
– Prepare and edit correspondence, communications, presentations, and other documents
– Assist with bookkeeping tasks using QuickBooks or other accounting software
– Provide exceptional customer service by responding to inquiries and resolving issues in a timely manner
– Perform general clerical duties, including data entry, filing, and organizing documents
-Conduct research and compile data for various projects or reports
– Assist with event planning and coordination
– Handle confidential information with discretion
Requirements:
– Proven experience as a Personal Assistant or similar role
– Excellent organizational skills with the ability to prioritize tasks and meet deadlines
– Strong attention to detail and accuracy
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
– Knowledge of QuickBooks or other accounting software is a plus
– Exceptional communication skills, both written and verbal
– Ability to multitask and adapt to changing priorities
– Professional demeanor with strong interpersonal skills
