Executive Assistant to the Chief Construction Officer

About the Role

This is a newly created position supporting a key executive whose work directly impacts construction timelines, facilities management, and overall profitability. The CCO moves quickly and expects the same from those around him. This is not a soft-spoken, slow-paced office gig—it’s a hands-on role that requires thick skin, discretion, and decisive follow-through.

You’ll work in person at our Houston headquarters and travel regularly throughout the greater Houston area to visit job sites, handle urgent facilities issues, and keep active construction projects on track. The pace is fast, the work is fluid, and being physically present where things are happening is essential to success in this role.

What You’ll Do

Executive-Level Support – Own the CCO’s calendar, prep materials for meetings, track action items, and follow through until completion. Be the first line of defense against disorganization.
Project Tracking – Manage timelines and to-do lists related to new builds, remodels, and facilities issues. Ensure critical deadlines are met and updates are accurate.
Contractor & Vendor Communication – Liaise with general contractors, city permitting departments, architects, landlords, and vendors. Communicate clearly, follow up relentlessly, and escalate appropriately.
On-the-Fly Availability – Construction and facilities move fast. You must be reachable, responsive, and calm under pressure—even when priorities shift quickly.
Document Control – Organize and maintain detailed reports, spreadsheets, site plans, permit timelines, and project budgets. Accuracy is non-negotiable.
Operational Efficiency – Anticipate the needs of the CCO and the construction team. Identify gaps, solve problems proactively, and stay 10 steps ahead.
Site Presence – Support the CCO in-person on job sites and throughout the city. Your visibility and mobility help maintain momentum and solve problems in real time.

What We’re Looking For

2+ years of experience in an Executive Assistant or high-level support role is required. You’d need to be an exceptionally impressive candidate to bypass this minimum.
70+ WPM typing speed—this isn’t a casual-paced role. You’ll need to keep up with rapid-fire communication, real-time note-taking, and fast turnarounds.
Based in Houston, TX – Must be able to work in person at our HQ and travel locally to construction sites or vendor meetings as needed.
Excellent computer literacy, with a solid understanding of Microsoft Office Suite (Word, Excel, PowerPoint) and cloud-based tools like Google Sheets.
Exceptional organizational skills, with the ability to prioritize tasks, manage multiple moving pieces, and keep your executive running at full speed.
Strong written and verbal communication skills – Clear, professional, and confident.
Extremely detail-oriented – You catch mistakes before they happen and take pride in getting things right the first time.
Thick-skinned & direct – You can handle fast, firm communication without taking it personally. You respond quickly, stay composed under pressure, and adapt fast.
Highly accountable – You don’t need hand-holding. You own your work and consistently raise the bar.
Discreet & trustworthy – You will handle sensitive and high-level information. Professionalism and integrity are a must.

Pay: $52,500.00 – $60,000.00 per year
