Role Overview
We are seeking a dynamic Front Desk & Office Administrator who will be responsible for both managing our reception area and supporting general office administration. The ideal candidate will be a natural communicator, a positive presence in the workplace, and someone who thrives on keeping things running smoothly.
This role is ideal for someone who takes pride in being an ambassador of the company, is service-oriented, and enjoys creating a welcoming, organised, and efficient office environment. To contribute to the Kingdom’s localisation goals and empower local professionals, this role is intended for Saudi nationals.
Key Responsibilities:
Front Desk Management
Greet and welcome guests and clients with warmth and professionalism
Answer and direct incoming calls appropriately
Maintain a neat, presentable, and well-stocked reception area
Manage visitor access and ensure adherence to Zutari’s health and safety protocols
General Office Administration
Provide day-to-day administrative support to the team and management
Manage calendars, book meeting rooms, and coordinate logistics for internal events
Handle incoming/outgoing mail and courier services
Maintain office supplies and ensure all departments are well-equipped
Facilities & Supplier Management
Coordinate with vendors and service providers (e.g., cleaning, maintenance, stationery)
Ensure smooth operation of all office utilities and services
Liaise with the building management on facility-related issues
Monitor and maintain office safety, cleanliness, and functionality
Requirements & Qualifications
Saudi National (as per role requirement)
Proven experience in office administration, front desk, or similar roles
Proficient in Microsoft 365 (Outlook, Word, Excel, Teams, etc.)
Strong verbal and written communication skills in English and Arabic
Excellent interpersonal skills with a professional and approachable demeanor
A “can-do” attitude and willingness to go the extra mile
Organised, detail-oriented, and proactive in problem-solving
Work in a collaborative and purpose-driven culture
