Responsibilities:

Welcome visitors, new employees

Provide support to office manager for all movement/office space improvement projects

Involved in organizing meetings, conferences, seminars and webinars; organize coffee breaks and lunches during meetings and trainings

Support of internal document flow

Coordinate meeting rooms maintenance, booking and appointments

Administrate incoming and outgoing mail correspondence (cooperation with courier services; delivery of correspondence, sort of incoming mails);

Cover shipping services, including packaging/sending, tracking, receiving

Monitor issues resolution progress Corporate System – Service Desk (control over the deadlines of solving the tickets with Issue Type Front Desk);

Maintain information in Corporate Directories up to date – Enterprise Directory (adding information about workplaces, phone numbers, personal assistants and printing labels for employees);

Create and follow process of Purchasing Requests/Orders in Corporate Financial System – Oracle;

Help on inventory maintenance, receive/send equipment, allocate it to responsible employees in databases

Handle visitor cards, temporary and permanent access cards, maintain associated journals

Assistance in the preparation of advance reports

Ordering and issuing office supplies

Preparation of printed materials

Accomplish ad-hoc Front Desk related tasks.

The Front Desk Office assistant will cover reception duties for local Luxoft branch and will support office manager on inventory, ticket processing, facility administration, access cards management.

Mandatory Skills Description:

Reception Duties experience

Nice-to-Have Skills Description:

English language certification, other foreign language

driver license

previous experience in inventory (tools and procedures)
