Administrative Assistant

Description

PAY RATE LEVEL: Two (2) $18.25 – $21.00 per hour

REPORTS TO: Finance Manager and Systems Manager

SUPPORTS: All Departments

ACCOUNTING RESPONSIBILITIES

Filing of invoices and other documents

Scan, prepare and send billing manifests and invoices.

Record daily sales information and daily deposits as needed.

Bring discrepancies to the attention of the Finance Manager and assist in research and resolve.

Prepare and make bank deposits as needed.

Assist Finance Manager with payroll tasks as needed.

Assist Finance Manager with accounting records storage and disposal.

Process NCG and manufacturer coupons for redemption.

Perform other finance duties as requested.

EMPLOYEE RELATIONS AND PERFORMANCE MANAGEMENT

Update the Employee Handbook and other materials as directed.

Ensure communication of policies and procedures to staff.

Assist updating and implementation of policies, procedures and programs that support the Co-op strategic plans.

Maintain complete confidentiality with regard to employee-related matters.

RECRUITING, HIRING AND TRAINING

Develop and maintain accurate and updated job descriptions and specifications in collaboration with the GM.

Host new hire orientation monthly

Assist hiring managers with pre-interview paperwork

Onboard staff according to established procedures

Enter and maintain staff information on the POS system.

Create employee Name Tags and staff discount cards as requested.

Tour the premises with new staff after onboarding.

Maintain sufficient supplies of employee benefit and hiring information, pamphlets, etc.

Perform other hiring duties as requested.

RECORDKEEPING AND BENEFITS ADMINISTRATION

Maintain all personnel files in accordance with state and federal law.

Ensure that current employee information is up-to-date.

Administer employee benefits and ensure that available benefits are communicated to employees in collaboration with the Finance Manager.

Administer workers compensation insurance in collaboration with the Finance Manager.

Administer employee leaves of absence, disability insurance, and unemployment insurance claims in collaboration with the GM.

Ensure accurate, timely federal and state mandated reporting

SAFETY

Assist in the maintenance of accident reports and follow up as needed to ensure workplace safety.

Record safety trainings in Paylocity for each employee

Assist employees with technical support when completing online training

RECEIVING AND INVENTORY MAINTENANCE

Accurately, and in a timely manner, enter new invoices into Systems from both store locations.

Promptly inform the Systems Manager of urgent issues including price corrections, products that do not scan, and daily price changes.

Record discontinued products.

Enter and revise information regarding discounts.

Maintain knowledge of tax tables and CRV, adjust as needed.

Maintain record of inventory transfers between both locations.

Efficiently communicate with the buying team regarding invoices and inventory in a timely manner. Update invoice coding as necessary.

INVENTORY TAGS, SIGNAGE AND RECORDS

Produce shelf tags and other appropriate signage as requested.

Maintain records of any major issues in the POS system and report to the Systems Manager.

Spot check shelf tags throughout the two store locations on a regular basis. Research and correct reported discrepancies between shelf tags and scanner prices.

Pull reports on Inventory data as requested by management.

Perform other Point of Sale duties as requested.

MEMBER-OWNER DATA

Enter and maintain new member information in the POS system including member contact info, member active status, equity payments and withdrawals

Work with the System’s manager to ensure all information is accurate and timely.

Pull reports for member-owner patronage and status as requested by management.

Build new member packets & create member cards as requested

Maintain sufficient forms and pamphlets related to membership at both store locations.

OUTREACH

Assist Outreach Coordinator with marketing/outreach when needed at both store locations (printing signage, distributing documents, taking pictures of products, other misc outreach tasks).

OTHER

Distribute employee birthday treats

Maintain current employee phone list.

Oversee purchasing and distribution of office supplies

Maintain sufficient front end forms and materials at both stores

Coordinate and take notes at annual staff meetings and quarterly manager’s meetings.

Do various errands (picking up office supplies, making copies, etc.) as requested by management.

Maintain an Admin Building schedule for meetings and management availability. Schedule appointments for non staff to meet with management.

Provide clerical assistance to the Human Resources contractor.

Perform other duties as requested.

Adhere to safety and security policies and rules. Promptly report potential security threats, safety hazards, and accidents to a manager.

Scheduling Requirements

The scheduling availability described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. All employees must be available to work weekends, evenings, early mornings, holidays, and high demand seasons. Employees will be provided a recurring base schedule at the time of hire, this will be used to determine the employees employment benefit status. Work Environment

Fast paced, physically-demanding work environment.

Occasional job related travel for training, meetings, and/or events.

Work near moving mechanical parts (i.e. store equipment, tools, etc.)

Ability to work in an environment with moderate to loud noises (i.e. equipment and machinery).

Crowded work spaces. Computer sharing is sometimes required.

Can involve work in high precarious places (i.e. ladders, ladder work.)

Ability to work in cold, wet conditions.

DESIRED QUALIFICATIONS

Minimum of one (1) year of data entry work.

Knowledge of natural foods and organic standards.

Proven ability to handle multiple demands, work under time pressures, and meet deadlines.
