Job Summary:As a Front Desk Receptionist, you will be the first point of contact for visitors and clients, providing exceptional customer service and administrative support. Your role is essential in creating a positive first impression and ensuring the smooth operation of the front desk area.

Responsibilities:

Greeting and Welcoming Visitors:

Welcome visitors, clients, and guests in a courteous and professional manner.

Provide directions and assistance to visitors as needed.

Answering and Directing Calls:

Answer incoming phone calls promptly and courteously.

Transfer calls to appropriate staff members or departments.

Take and relay messages accurately and efficiently.

Managing Reception Area:

Maintain a clean, organized, and professional reception area.

Ensure that reading materials and promotional materials are stocked and neatly displayed.

Scheduling and Appointment Management:

Schedule appointments and maintain calendars for staff members.

Coordinate meeting room bookings and arrange for necessary equipment or amenities.

Administrative Support:

Assist with various administrative tasks, such as data entry, filing, scanning, and photocopying.

Handle incoming and outgoing mail and packages.

Customer Service:

Provide excellent customer service to clients, visitors, and staff members.

Address inquiries and provide accurate information about the organization’s products, services, and policies.

Security and Access Control:

Monitor and control access to the premises, ensuring that only authorized individuals enter the facility.

Issue visitor badges and maintain visitor logs as necessary.

Handling Inquiries and Requests:

Respond to inquiries via phone, email, or in-person promptly and professionally.

Redirect inquiries to appropriate personnel when necessary.
