Administrative Assistant
Perkins Counseling & Psychological Services

Job Summary:
The Administrative Assistant provides essential support to both clinical and administrative staff at Perkins Counseling & Psychological Services (Perkins CPS), ensuring the organization’s mission and values are upheld. This role often serves as the first point of contact for clients, creating a welcoming and professional office environment. Responsibilities include front desk coverage, client care, office maintenance, and administrative support.

Key Responsibilities:

Reception, Client Care, and Administrative Support

Train on front desk responsibilities and provide coverage as needed.
Greet and check in clients, ensuring a positive and professional first impression.
Collect co-pays and outstanding balances.
Contact clients regarding balances and update payment information.
Provide new client paperwork and ensure necessary documents are completed.
Scan and upload identification and insurance cards into Tebra.
Update client information in the electronic medical record system.
Answer phones professionally, monitor voicemails, and direct messages appropriately.
Assist with filing, faxing, and scanning completed assessments and other paperwork.
Monitor and contact clients for outstanding paperwork as needed.
Perform other administrative tasks as trained and requested.

Office Maintenance & Organization

Monitor and replenish refreshments in the lobby.
Ensure the lobby, reception area, and hallways remain neat and clean.
Maintain and stock the coffee station.
Water and care for office plants as needed.
Restock reception area supplies.
Perform light cleaning duties to maintain a professional environment.

Intake Assistance

Assist the Intake Coordinator with daily tasks as needed.
Train on all intake processes to provide coverage when necessary.
Assist with prior authorization and medication refill requests as time allows.
Complete and retrieve online intake forms.
Assign clients to the appropriate clinician and schedule intake appointments.
Send confirmation emails for first-time clients.
Enter new client demographic information into the electronic medical record system.
Track and maintain clinician availability for new client placement.
Update clinician intake preferences as needed.
Coordinate with clinicians to establish new client bases and transition care as necessary.
Maintain company and individual clinician waitlists.
Log intake calls and maintain an organized call log.
Assist in covering administrative team members as needed.

Referral and Refill Requests Coordination

Provide referrals to outside resources when necessary.
Contact new client referrals from external offices.
Maintain and update referral sources.
Communicate with other offices regarding client referrals.
Coordinate insurance referrals, medication refill requests and assist with prior authorizations as required.

Required Skills & Qualifications:

Strong customer service and communication skills.
Ability to multitask and maintain attention to detail.
Proficiency in office software and electronic medical record systems.
Positive demeanor and professional phone etiquette.
Ability to maintain confidentiality and handle sensitive information appropriately.
Previous administrative or healthcare office experience preferred.
