Job Overview
We are a nonprofit healthcare dedicated to providing high-quality, inclusive, and accessible care to the LGBTQ+ community. We are committed to eliminating healthcare disparities and creating a safe, affirming, and welcoming environment for individuals of all identities. We are looking to add a dynamic and detail-oriented Administrative Assistant to provide critical support across three core areas: Community Relations & Events, Patient Care, and Front Desk Operations.
This role is ideal for someone who thrives in a fast-paced, mission-driven environment, loves working with people, and is passionate about creating a welcoming, organized space for patients, partners, and staff alike.
This individual will be required to work nights and weekends if coverage needed for events. This position is 40 hours a week with no overtime as you will be able to flex your hours during the week.
This role involves assisting with administrative tasks, maintaining organizational systems, supporting team communication, and ensuring that our community members and patients receive excellent service.
The ideal candidate will be highly organized, flexible, and passionate about supporting LGBTQ+ health initiatives. Strong multitasking skills and an ability to work collaboratively with various teams are key for success in this role.
Duties
Community Relations & Events Support
o Provide administrative assistance for community outreach programs and events.
o Assist in scheduling meetings, coordinating event logistics, and maintaining event calendars.
o Help manage volunteer lists, volunteer communications, and post-event follow-up.
o Assist in preparing event materials, including flyers, handouts, and promotional content.
o Support social media content creation and help track engagement for events and outreach programs.
o Maintain and update the contact database for community partners, stakeholders, and event vendors.
Patient Care Team Support:
o Assist with patient scheduling and intake procedures.
o Help maintain patient records and ensure they are up-to-date and secure.
o Answer patient inquiries via phone, email, or in person, and direct them to appropriate
services.
o Coordinate and confirm appointments and follow-up visits for patients, ensuring accurate documentation.
o Assist the Patient Care Team with patient education materials and outreach initiatives to ensure patients are informed and supported.
o Maintain confidentiality of patient information in accordance with HIPAA guidelines.
Front Desk Team Support:
o Provide administrative support at the front desk, ensuring smooth operations and excellent customer service.
o Greet patients and visitors in a friendly, professional manner, ensuring a welcoming and
inclusive environment.
o Assist with phone and email communications, answering inquiries and directing them to appropriate staff.
o Maintain patient check-in/check-out procedures and assist with processing patient forms.
o Help manage the front desk’s calendar, including scheduling patient appointments, meetings, and other activities.
o Help track inventory for office supplies and assist with ordering supplies as needed.
General Administrative Support:
o Provide clerical support, including filing, document management, and data entry.
o Assist in creating and formatting reports, presentations, and correspondence.
o Help organize and maintain office spaces, ensuring a tidy and efficient work environment.
o Collaborate with all departments to ensure smooth communication and workflow.
o Manage and prioritize daily administrative tasks to support team efficiency.
What We’re Looking For:
• Strong commitment to LGBTQ+ health equity, inclusivity, and providing exceptional care to marginalized communities.
• Proven experience in an administrative or assistant role, preferably in a healthcare or
nonprofit setting (1-3 years preferred).
• Excellent organizational skills and the ability to manage multiple priorities and deadlines.
• Strong communication skills, both verbal and written, with the ability to interact with diverse individuals and teams.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google
Workspace (Docs, Sheets, Drive).
• Experience with scheduling software, patient management systems, or similar tools is a plus.
• Ability to handle sensitive information with discretion and maintain confidentiality in
accordance with HIPAA.
• Friendly and professional demeanor with a commitment to providing outstanding customer service.
• Ability to work well independently and as part of a collaborative team.
• Experience or interest in LGBTQ+ healthcare issues is a plus.
• Flexible and adaptable to varying duties across different departments.
