As our Administrative Assistant, you’ll support the Office Manager, ensuring smooth operations from start to finish. From accomplishing daily opening and closing checklists to keeping our workspace stocked and ready for action, you’ll be part of the foundation of our team’s success.

Essential Duties

Responsible for office opening and closing tasks such as loading and unloading dishwashers and stocking office/kitchen/printing supplies
Provide company primary phone line coverage, greeting visitors, and mail coverage.
Arrange all incoming and outgoing mail and shipments
Support White Oak team members with printed or electronic documents for meetings with potential investors, lenders, and other external parties. This may include binding, shipping, and uploading materials.
Pay close attention to the office environment and trouble shoot or escalate issues as needed.
Support facilitation of the corporate branded “gear” program (including inventory, selection, and managing of the online shop)
Assist with all aspects of group meetings and company events, including but not limited to:
Event coordination, including researching and organizing company events
Investor meeting coordination
Advisory board meeting coordination
Picking up and delivering food/materials
Support the facilitation of culture-based programs, including employee gifts
Organize and schedule new hire onboarding meetings to support the HR team.
Create expense reports for executives in the expense reimbursement system (Concur)
Develop internal communications and materials, including company birthday cards, fliers, signage, name tags, and email communications

Additional Details

Use own vehicle to run errands locally such as bank runs, post office, picking up lunch, etc. (will receive mileage reimbursement)
This role is generally in the office five days a week, generally 8:15AM to 5:15PM with flexibility to work from home when needed. Evening events 4-6 times per year.

Minimum Requirements

Strong customer service orientation
Strong attention to detail
Self-starter who can work well with limited direction
Flexibility to adapt to changing demands
Well organized and able to prioritize multiple responsibilities
Excellent written and verbal communication skills
Comfortable organizing in-office lunch meetings and coordinating on-site and offsite events
Ability to interact professionally with key stakeholders at various levels of the organization (including board members, executives, and team members)
Ability to be creative in researching and organizing events that promote a positive work environment
Intermediate skills in Outlook, Word, Excel, PowerPoint, and Adobe Acrobat
Associate degree or equivalent experience preferred
Customer service experience preferred
