Job Overview

We are seeking a reliable, organized, and proactive Personal Assistant / Fill-In Medical Assistant to support the day-to-day operations of a busy healthcare office. This dynamic position requires someone who can multitask efficiently, take initiative, and seamlessly transition between administrative tasks and clinical support.The ideal candidate will excel in managing schedules, coordinating communications, and performing various administrative tasks to ensure smooth operations. This role requires a detail-oriented individual with excellent clerical and administrative skills, capable of handling multiple priorities and working independently.

Responsibilities

Manage and maintain executive calendars, scheduling appointments and meetings efficiently
Prepare and organize documents for meetings, including agendas and presentations.
Handle correspondence, including emails and phone calls, ensuring timely responses and follow-ups.
Utilize DocuSign for document management, ensuring all necessary paperwork is completed accurately.
Provide executive administrative support by preparing reports, proofreading documents, and maintaining filing systems.
Assist with travel arrangements, including booking flights, accommodations, and transportation.
Perform clerical duties such as typing, data entry, and maintaining office supplies inventory.
Coordinate logistics for events and meetings, ensuring all details are managed effectively.
Run personal and professional errands.
Be able to fill in as a Medical Assistant when needed.

Requirements

Proven experience as a Personal Assistant or in a similar administrative role.
Proficiency in Microsoft Office especially Excel and familiarity with phone systems.
Strong calendar management skills with the ability to prioritize tasks effectively.
Excellent proofreading skills with attention to detail in written communication.
Ability to handle confidential information with discretion.
Strong organizational skills with the ability to multitask in a dynamic environment.
Exceptional communication skills, both verbal and written.
A proactive attitude with a commitment to providing high-quality support.
Reliable transportation
Basic medical office experience
Trainable skills

Job Type: Contract

Pay: $12.00 – $18.00 per hour
