Organically Grown (OGC), Northwest’s largest independent distributor of fresh, organic produce, is hiring a Front Desk Support.

Additionally, they are responsible for answering the general phone line and directing calls to the appropriate coworker within the organization. It is critical for the Front Desk Support role to be personable and professional and represent OGC in a friendly manner. This role is also responsible for providing administrative support to the Finance department as needed

Here’s what you’ll do:
Greet visitors as they enter the facility. Assist by answering their questions, locating the appropriate person for the visitor, and welcoming them as they wait for their party.
Answer incoming phone calls and direct them to the appropriate coworker. Ask necessary questions to ensure exceptional customer service is provided and interactions are positive.
Receive and distribute incoming mail to coworkers. Prepares and ships packages and letters for mailing via USPS, UPS, and FedEx. Monitor and maintain necessary shipping supplies.
Manages coffee and UNFI ordering for coworkers.
Order and maintain office supplies including desk supplies as well as kitchen and other needed supplies.
Assist coworkers with booking meetings, setting up conference rooms, arranging catering, etc. This includes setting up video conferencing systems as needed.
Maintain shared office spaces including the lobby, kitchen area, conference rooms, etc. This includes organizing, straightening, and light cleaning as needed.
Aid coworkers in ordering or receiving OGC merchandise. Includes tracking, distributing, and coordinating processes.
Assist departments with special projects as requested.
Ensure smooth daily operations by making decisions that respect and embrace the company culture and diversity of beliefs, avoids disruptions, and supports an inclusive environment.
Requirements:
Qualified candidates will bring:
Minimum of two years of general office or administrative experience.
Highly proficient with Microsoft Outlook; proficient with other MS Office Applications.
Experience handling large call volumes.
Experience working in a team environment, closely collaborating, and coordinating schedules with coworkers.
Experience working a required schedule where attendance and timeliness are critical.
Assist will-call customers by answering questions, printing invoices, and collecting accurate payments.
Aid members of the Finance team as needed. May require data entry, document handling, etc.
Excellent verbal and written communication skills.
Outstanding customer service.
Strong organizational skills: ability to maintain detailed lists and tasks.
Ability to multi-task and remain composed in stressful circumstances.
Strong interpersonal skills: ability to build and maintain relationships with regular visitors and customers.
Ability to listen and identify client needs and determine appropriate channels of communication to address needs in a timely manner.
