Job Purpose
To provide operational and administrative support to the Talent Acquisition vertical in effectively managing the end-to-end recruitment process, ensuring delivery of timely and high-quality & steady hiring outcomes by coordinating recruitment activities, managing candidate communications, maintaining recruitment data, and ensuring smooth execution of the hiring process while enhancing overall candidate and stakeholder experience.
To ensure a smooth and engaging onboarding experience for new hires by coordinating joining formalities, pre- and post-activities, facilitating seamless integration into the organization, and enabling early productivity and alignment with company culture, supporting new hires in their transition to drive engagement, retention, and early productivity.
Job Context
This role operates as a strategic partner to the business, responsible for attracting, assessing, and hiring talent aligned with organizational goals. The role functions in a dynamic, high-volume, and time-sensitive environment, requiring close collaboration with hiring managers, HR business partners, and external talent pools. This role navigates shifting hiring priorities across diverse departments, balancing external candidates with internal stakeholder management, ensuring a seamless, compliant transition from the sourcing to full onboarding integration.
Major Challenges
- Attracting talent is a key challenge as candidates are unwilling to relocate to Rishra/ Kolkata
- Niche requirements from the business as our product range is varied, and resources scarce
- Implementing a competency-based hiring process and training the line managers
- Attrition rate is high and hence recruitment numbers are very large
- Adhering to the hiring processes as per group guidelines

Supporting Actions
Understanding The Position Requirements From The Business
- Gather information about the nature of the job. Consider:
- Ensure detailed JRF, JD & Hiring specifications for each recruitment
- Prepare a person-job fit profile to ensure a close match with role requirements
Assist in end-to-end recruitment process
- Post job vacancies on job portals, company website, and social media platforms
- Screen resumes based on defined criteria and shortlist suitable candidates
- Support sourcing activities using databases, portals, and referrals
- Managing recruitment channels for effective & efficient sourcing as per job requirement
- Assist in scheduling interviews and coordinating with candidates and hiring managers
- Manage interview calendars and ensure timely communication
- Share interview details, feedback forms, and follow-ups with stakeholders
- Ensure all recruitment policies, procedures and techniques are adhered to
- Pre-Offer Reference check
- Conducting pre-hire assessments if any
- Documentation for offer process
- Pre-employment health check
- Antecedent check & BGV
Employer branding
Collaborate with Marketing to create recruitment content, update the company job posts, and manage reviews on platforms.
Candidate Experience Management
- Maintain a positive employer brand and professional candidate journey.
- Maintain and update candidate records in the Applicant Tracking System (ATS)
- Ensure smooth communication with candidates throughout the hiring process
- Support in candidate engagement and enhancing overall candidate experience
Onboarding new joinees
- Ensure smooth onboarding of new hires from offer acceptance to Day 1
- Coordinate documentation, background verification, and joining formalities
- Ensure creation of E-mail ids, sim cards etc on Day 1
- Liaise with IT, Admin, Payroll, and HR Ops for onboarding readiness
- Preparing Joining Announcement
- Prepare & Handing over of Complete joining kit
- Registration on ABG travel Portal
- Closure of all Joining Forms, Identity Cards, Punch cards etc
- Order for printing Visiting Cards & ID Cards
- Track Joining Feedback and develop & complete Action Plan
- Ensure coverage of all new employees for Statutory Compliances like PF , ESI etc
- Ensure seamless transition from recruitment to employee lifecycle management
Stakeholder Coordination
- Manage logistics for interview candidates
- Ensure smooth coordination for effective stakeholder management
- Manage third party headhunters and external job board representatives
- Interaction with local teams to gate resolution.
Maintaining Databases
- Maintain data base for all Consultants including formalities for yearly renewal of agreement
- Maintain database for rejected CV
- Maintain data Bases of Forced / Direct Applications to JST & use when necessary
- Maintain regular tracking for Recruitment Parameters
- Maintain database for Recruitment Expenses
- Maintain database for dispatch of cheques to vendors & candidates as the numbers are very large and often we need the docket numbers to trace them
Managing Personal Files
- Maintain all documentation for recruitment as per personal file checklist
- Ensure Compliance of (Non-disclosure, appointment letter, declarations for COC, Whistle-Blower, Corp. Principles & Value
- Update the file from time to time
Data Management, Recruitment Dashboard & MIS
- Keep recruitment data accurate and compliant with laws.
- Maintaining the monthly recruitment dashboard comprising of recruitment source mix percentage, TAT, cost per hire etc.
- Maintain all pertinent applicant and interview data
- Prepare HRMIS for Recruitment within timelines
- Provide Recruitment Updates for all review Presentations
- Upgrade processes through improvements to improve feedback scores
- Ensure data accuracy and timely updates
