Job Summary The Enrollment and MARSS Administrative Assistant supports the district’s student registration and reporting processes by assisting families with enrollment, maintaining accurate student records, and entering critical data for state and federal compliance. As a key point of contact for new and returning families, this role ensures enrollment documentation is complete and accurate while contributing to the quality of MARSS reporting. Fridley Public Schools serves a richly diverse student population, and this role plays a vital part in creating a welcoming, inclusive experience for all families. Essential Job Functions
Enrollment Management
Provide enrollment support to families: Assist families in-person, via phone, and online throughout the registration process. Guide them in completing applications, review supporting documentation (e.g., proof of residence, birth certificates, immunization records), and ensure all submissions meet district and state requirements before approval.
Process diverse types of enrollment: Manage and track standard, open enrollment, preschool screenings, resident elsewhere, and non-resident student applications. Accurately document and verify enrollment in compliance with Minnesota Department of Education (MDE) guidelines.
Maintain accurate student records in Infinite Campus: Enter and update census and enrollment data, including contact details, emergency information, grade level, school assignment, and enrollment status. Upload and organize required documentation within student profiles.
Coordinate enrollment notifications: Communicate new and transferring student information to key stakeholders (building principals, counselors, health services, and transportation) to support coordinated services and smooth student transitions.
Respond to inquiries: Answer phone calls and respond to parent emails promptly, providing clear, empathetic guidance regarding the enrollment process and district services.
Collaborate on communication efforts: Partner with the district’s communications team to create family-facing materials (brochures, flyers, website content) to promote Voluntary Prekindergarten, Kindergarten, and other district enrollment opportunities.

MARSS & Ed-Fi Reporting
Support MARSS and Ed-Fi data entry: Assist with data entry and verification of critical student information, including demographics, enrollment status, special program participation, and state aid categories, following established guidelines and under the direction of the MARSS / Enrollment Coordinator.
Assist with MARSS turnaround report distribution and review: Participate in the review of MARSS turnaround reports by identifying data inconsistencies or missing information, distribute, and provide support to complete follow-up tasks to ensure accuracy and compliance with state reporting requirements.

Minimum Qualifications
AA degree or equivalent experience
Ability to multitask, prioritize and work independently in a fast-paced environment
Demonstrated proficiency in Microsoft Office (especially Excel) and Google Workspace, with strong abilities in document creation, data entry, and spreadsheet management.
Strong interpersonal and communication skills
Demonstrated commitment to continuous learning and improvement
Ability to take direction of supervisor(s)
Excellent customer service skills
Ability to understand and follow data privacy rules and regulations related to students and staff and maintain confidentiality

Skills
Proficiency with student information systems (e.g., Infinite Campus)
Advanced Microsoft Excel and data analysis skills
Knowledge of MARSS and Ed-Fi reporting requirements
Strong attention to detail and data accuracy
Ability to audit, identify, and resolve data inconsistencies
Excellent written and verbal communication skills
Strong organizational and time management skills
Ability to interpret and apply Minnesota Department of Education (MDE) guidelines
Capacity to manage confidential student data responsibly
Problem-solving and analytical thinking
Comfortable working independently and collaboratively Preferred Qualifications
Bilingual abilities (especially in Spanish, Somali or Hmong) are a plus
Experience in Infinite Campus or similar student information system (SIS)
Previous experience as a school administrative assistant or in a school office setting
Working knowledge of MN K-12 school system
