JOB SUMMARY:
The Office Administrator is responsible for front desk and general office duties, assisting with invoice coordination, business expense processing, and supporting the administration and management staff in various states while always cultivating and maintaining positive business relationships.
ESSENTIAL FUNCTIONS:
Responsible for preparing and processing all expense reports, per diems, reimbursements & personal mileage reports.
Assist with the flow of the OnBase invoice system.
Assist with maintaining the organization of various files and project documents.
Responsible for reconciling vendor statements and expense statements.
Assist with tracking contracts, purchase orders, and subcontracts with the administration team.
Provide front desk support, greet visitors, answer, and direct incoming calls, as well as take messages.
Assist in general office duties, including making copies, scanning documents, and mailing.
Assist in ordering and organizing office supplies.
Open, sort, distribute incoming mail, and prepare outgoing mail with the correct postage.
Work in a constant state of alertness and in a safe manner.
Perform other duties as assigned.

This position has no supervisory responsibilities.

Knowledge of basic administrative skills and ability to perform related tasks.

Ability to demonstrate strong project management and organization skills.
Ability to manage time effectively.
Excellent oral and written communication skills, and ability to multi-task
Ability to work in a team environment.
Ability to operate standard business computers utilizing business applications Microsoft Office Suite.
Ability to learn new applications.
Ability to learn and understand the Company’s Standard Operating Procedures (SOPs).
Ability to do basic math: addition, subtraction, division, multiplication, and finding percentages.
Ability to do business ethically with customers, vendors, and co-workers.
Ability to work with a high level of accuracy.
Ability to exercise resourcefulness in assisting management & co-workers.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to maintain a professional appearance.
Ability to safely and efficiently operate a motor vehicle.
Ability to work in a Native Corporation multi-business environment.
QUALIFICATIONS:
High School diploma or equivalent required.
Previous office administration experience preferred.
Administration construction and marine experience preferred.
Valid state Driver’s License and be qualified to operate a vehicle under the conditions of the Company’s Driving Policy.
Ability to pass a drug, driving, and background screening.
WORKING ENVIRONMENT:
The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Brice Highway has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes and occasional overtime for immediate field support or bid processing may be necessary.
