American Energy Storage Innovations, Inc. (AESI) has a full-time opening for an Office Administrator in Hudson, Massachusetts.

Job Summary:

As the first point of contact in our Hudson, Massachusetts office, the Office Administrator presents a welcome professional atmosphere and provides excellent internal and external customer service. This individual is responsible for front desk coverage, managing day-to-day administrative support operations, and overseeing office supply inventory management.

This position is based in our Hudson, Massachusetts office and reports to the Human Resources Manager.

Responsibilities:

Plan, execute, and monitor the day-to-day administrative operations to ensure smooth and efficient processes.
Front desk coverage, including but not limited to, phone answering and redirecting calls, greeting and signing in visitors, and clerical duties.
Order and maintain inventory of office supplies, consumables, equipment, and other resources, ensuring the office is well-stocked and all equipment is functioning and properly maintained as authorized by management.
Assist with shipping and receiving materials from delivery vendors.
Assist in coordinating meetings and visits which may include preparing meeting space, managing meals and accommodation, preparing meeting materials, and ensuring space always presents well.
Assist with coordinating travel arrangements including scheduling flights, booking accommodation, and arranging other transportation as required.
Collaborate with IT, HR, and other departments to assist with onboarding, offboarding, and office resource planning.
Assist with requests from internal departments for clerical support such as mailing marketing materials, processing printing requests, internal announcement, and similar as needed.
Coordinate with internal teams to plan and host employee engagement events, promote wellness initiative, and run other company activities and cross-functional initiatives.
Assist with various HR administrative activities, such as interview scheduling and updating candidate profiles in the HRIS.
Upkeep of the emergency evacuation bags.
General administrative tasks.
Adhere to federal and state regulations.
Adhere to all company policies, processes, and procedures.
Performs other duties as requested, directed, or assigned.
Predictable and reliable attendance.

Position Qualifications:

Associate degree in business, hospitality, or related field, or equivalent experience.
Bachelor’s degree in business related field preferred.
Minimum of three (3) years of administrative assistant or related experience required.
Experience working in a fast-paced industry preferred.
Must be discrete, tactful, diplomatic, and possess the ability to proactively solve problems.
Excellent interpersonal, written, and verbal communication skills, and the ability to prioritize tasks.
Ability to be proactive, resourceful, and handle numerous assignments simultaneously.
Exceptional phone etiquette and capacity to always provide top notch customer service, both internally and externally.
Strong time management and project management skills.
Proficient in Microsoft Office Software, including Excel, PowerPoint, Word, and Outlook.

The person in this position needs to occasionally move about in industrial environments, and on uneven terrain.
Works in a temperature-controlled office environment, with occasional work in outdoor weather conditions, and in industrial environments.
May be required to recognize small numbers, letters, symbols, and colors.
