Position Summary

The Executive Assistant will provide administrative support to the Chief Executive Officer (CEO) for Oxerra Americas. This position is in The Woodlands, Texas, and is primarily an in-office position with flexibility.

Essential Functions

Perform clerical and administrative tasks, including drafting letters, memos, reports, and other documents.
Oversee special projects and assignments, ensuring timely and successful completion. This includes working with multiple departments and international company locations.
Schedule and attend meetings on behalf of the CEO, take notes, and record minutes.
Proofread documents for accuracy and clarity before distribution.
Receive incoming communication, including email, phone calls, and mail on behalf of the CEO, review contents, determine importance, and summarize and/or distribute contents to appropriate staff.
Identify and implement improvements to workflow.
Perform office tasks, including maintaining records, ordering supplies, attending to office visitors, maintaining office equipment, and checking and sorting the mail.
Maintain confidentiality in all interactions and documentation.
May arrange travel and accommodations, including international travel, and complete all required after-travel documentation.
Performs additional duties as assigned.
Minimal travel as needed.

Requirements:

Knowledge, Skills, and Abilities

High school diploma required, bachelor’s degree in business administration or related field preferred.
At least five years of related experience is required.
Possess excellent organizational skills and be detail oriented.
Ability to multitask, prioritize workload, and meet deadlines.
Flexibility to handle varied tasks and adapt to changing priorities.
Must have proficiency with Microsoft Office suite with intermediate to excellent Outlook, Excel, and PowerPoint skills.
Strong communication skills, both written and oral, are essential. Foreign language skills are a plus.
Strong interpersonal skills, including working with executive leadership, directors, managers, and employees at all levels.
Ability to work non-standard hours occasionally due to the CEO’s international travel.
