Metra is one of the largest and most complex commuter rail systems in North America, serving Cook, DuPage, Will, Lake, Kane, and McHenry Counties. The agency is linking communities in Northeastern Illinois by providing safe, reliable, and efficient commuter service.
Mechanical coordinates and oversees the repair, inspection, cleaning, rebuilding, replacing and maintenance of 1,180 pieces of rolling stock used in commuter service. The department’s goal is to provide safe, clean and reliable service while maintaining the fleet to the standards of the Federal Railroad Administration, Association of American Railroads, American Public Transit Association and the original equipment manufacturers.
Reporting to the Chief Mechanical Officer, the Office Manager provides confidential support assisting with a wide range of tasks including preparing and communicating departmental directives, developing and implementing administrative procedures, processing financial forms and information requests, creating and overseeing tracking systems, and supporting research and special projects.
The primary duties include: Manage support staff by coordinating, delegating, and distributing assignments and prioritizing workflow. Gather, prepare, and review discipline-specific paperwork and maintain database to track documents and timelines, ensuring information is organized and accessible. Provide administrative support to the Chief Mechanical Officer including scheduling appointments, managing email, and assisting in evaluating and recommending improvements to administrative processes. Create, organize, and maintain various databases and files of department rules, documents, and policies for tracking purposes. Collect, review, and analyze documents in response to FOIA, Subpoena, and Law Department requests ensuring complete, accurate, and timely responses. Coordinate team’s day-to-day activities, assign tasks/projects and monitor performance, and provide guidance and training, but is not a supervisor. Promote safe work practices and maintain and foster a safe work environment. Perform other related duties as assigned to meet the ongoing needs of the organization.

Job Requirements
Bachelor’s Degree in Business Administration or related field or in lieu of specified degree, a combination of education and experience that equals four years in administrative or office management.
In addition to #1, must have three years of administrative or office management experience.
Good knowledge of office management practices.
Good knowledge of proper grammar.
Good knowledge of records management and retention.
Strong organizational skills to coordinate meetings, manage calendars, and keep tracking systems and documents well-structured and easily accessible.
Strong attention to detail for grammar, punctuation, and formatting of communications, reports, and documents.
Good written and verbal communications.
Good interpersonal skills to deal with all levels of management, external groups, and organizations.
Proficient in Microsoft 365 (Word, Excel, PowerPoint, Outlook).
Ability to manage multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail.
Ability to exercise discretion and judgment, maintaining a high level of confidentiality.
Ability to manage office staff and ensure productivity and smooth operations across the department
